Subject: Visas, Passports, and Work Authorization
In order to be put on payroll and to remain on payroll, visa holders must have current visa and passport documents.  Visa holders must also ensure that the correct offices at UIC have a record of their current documents.  Residents are responsible for keeping track of the expiration dates of their visas and passports, and ensuring that these documents remain valid.
The following are conditions for visa holders to remain on payroll:
The Office of International Services (OIS) must have on record your current valid passport, work authorization, temporary alien card or DS-2019. OIS approves your visa clearance through the earliest expiration date of any of these documents. You will remain on payroll based on the validity of these documents, not your contract dates.
It is up to each resident to keep track of his or her documents’ expiration dates and provide the GME Office and the Office of International Services with a copy of the current and valid document prior to its expiration. If you are in the process of applying for the renewal of your passport, work authorization (EAD), or temporary alien card, please inform OIS to avoid any payroll problems.
Please note that you are not eligible to work or remain on payroll if any of these documents has expired. You will not be paid for any lapse in time between the expiration date of the documents and the date you present these documents to the Office of International Services.
