Reports to: Program Officers
Location: Washington, DC -1990 M Street office
Duration: Six months from date of appointment
General Description: The Program Associate supports a Senior Program Officer for MENA and the Program Officer for FORECAST/MBA with administrative duties. The Program Associate is involved in various aspects of the academic and short-term placement and monitoring of group and individual training programs.
Specific Responsibilities:
* Facilitate the application process by completing the requisite application forms, ensuring timely submission, and monitoring application process for academic placements
* Draft correspondence, copy and file documents, send /email information to Field
* Enter data into computer system, making corrections as needed
* Ensure proper receipt collection and reconciliation
* Maintain comprehensive files for each participant with copies of all documentation pertaining to each case (including procurement process, emails, applications, financial expenditures, phone logs etc.).
* Arrange for meet and greet services upon arrival to the US
* Pay monthly maintenance allowance as dictated USAID in ADS 253
* Make logistical arrangements for participants' (travel, hotel, per diem, etc.)
* Enroll participants in USAID Health and Accident Insurance (HAC)
* Make timely payments including tuition and fees, book allowances, and HAC premiums
* Assemble participant files and orientation packets
* Assist in group/individual administrative briefings and exit interviews
* Collect, record, and send exit information and materials to and from participants
* Act as liaison for (health insurance) questions and problems
* Provide assistance to Program Officers in all aspects of programming
Required Qualifications:
* Bachelor's degree or equivalent, relevant experience
* Office work experience, computer skills, detailed oriented, data entry experience
* Excellent English written and verbal communication skills
* Knowledge of international development/education
* Regional expertise, preferred
