GRADUATE COLLEGE STUDENT TRAVEL AWARDS
UPP STUDENT TRAVEL AWARD
The Urban Planning and Policy (UPP) Student Travel Awards are intended to help defray the travel expenses of UPP graduate students who are:

Presenters of research, scholarly work or professional practice at a meeting of a nationally-recognized scientific, scholarly or professional society. (Maximum application: $200 to reimburse travel costs)

Attending a national, state or regional conference of the American Planning Association, or the Association of Collegiate Schools of Planning. Travel to other nationally-recognized urban planning conferences may also be eligible on a case-by-case basis in exceptional circumstances. Check for eligibility of venue before travel (maximum application: $150 to reimburse travel costs)
A UPP graduate student is defined, for the purpose of this program, as a currently enrolled, degree-seeking student in the Ph.D. in Urban Planning and Policy, the Master of Urban Planning and Policy, or the Ph.D. in Public Policy Analysis with a Specialization in Urban Planning.
The Urban Planning and Policy Program attempts to support as many qualified applicants as possible; however, awards are contingent upon the availability of funds. Awards may be less than the application amount if funds are not available. Awards to reimburse travel costs for students attending the National American Planning Association Conference may also be more, if funds are available at the end of the fiscal year.
The university limits our ability to cover international travel costs. Check for eligibility of a conference before travel.
There has been a change in the way in which Graduate College Student Travel awards are processed. Due to Federal Tax processing
regulations, Travel Awards can no longer be processed as reimbursements. Consequently, funds will no longer be transferred to a student's academic program for reimbursement. Payments must be processed as awards.
This means, upon successful review of an application, the Graduate College will process the award through University Payables except for Foreign Nationals whose payment will be processed through University Payroll. Students with direct deposit will have the award credited directly to their account. Checks will be processed for students who do not have direct deposit. In those cases, students will need to pick up their check in person.
*PLEASE NOTE: If a student owes any money to the University, once this award is processed it will be applied first to any debt owed the University.
Deadlines
You should submit your application form (.doc, 41kb) as soon as possible following your trip. The annual deadlines for submission of applications are:

October 1 (for the months of July, August, September)

January 1 (for the months of October, November, December)

April 1 (for the months of January, February, March)

June 1 (for the months of April and May. )
Note that June travel is difficult to reimburse. If you expect to present a paper in June, and would like to make a special application, please contact UPP well ahead of travel.
Applications must be submitted for the closest deadline following your trip as specified above. Applications submitted prior to the proposed trip will be reviewed on the deadline following the trip. When a deadline date falls on a weekend, the deadline will be the following Monday. Applications submitted after the above deadline dates will not be accepted.
Application Instructions
Applicants must be currently enrolled degree-seeking students in the Urban Planning and Policy Program. Non-degree students, former students, and students enrolled in other programs at UIC are not eligible.
Awards may be used for transportation, hotel, meals, or conference registration. UPP will award up to $200 for presenters and $150 for non-presenters at appropriate conferences. An individual may not receive more than one travel award per fiscal year. Trips must take place in the same fiscal year in which the award is made. The university's fiscal year starts July 1 and ends June 30.
Presenters (up to $200 reimbursement of travel costs)
Presentations must be at of research, scholarly work or professional practice at a meeting of a nationally recognized scientific, scholarly or professional society. These awards will not be given to individuals who are not themselves presenting, even if their name(s) appear as a coauthor of the work. An official letter of acceptance on the organizing institution's stationery (paper) addressed to the applicant stating they are a presenter must be submitted with their application. If the applicant is not able to submit an official letter, a copy of the printed program cover page and the page that lists applicant's name, the date, time, and program number is also acceptable. Along with the official letter, attach a copy of the abstract of work presented. (E-mails not accepted.)
Non-Presenters: (up to $150 reimbursement of travel costs)
Must attend the bulk of the conference and must verify registration at the event and travel to the event.
Complete the Student Travel Awards application and have it signed by your advisor or other faculty member who can verify your presentation and or attendance at the conference. If traveling by car, indicate the mileage to and from UIC on the application.
