Minimizing Risk: For Unit Administration

   
 
     
Fall 1999
 
  • Download and run the most recent anti-virus software.
  • Backup mission-critical documents for your units on external media (e.g., ZIP Disks, tape, etc.) and encourage individual faculty, labs, and other staff to do the same.
  • Prepare hard copy of unit's vital documents and encourage individual faculty, labs, and other staff to do the same.
  • Identify the building coordinator and where the keys for the building are kept in case card-access systems don't work.
  • If a generator is to be added in case of a power failure be aware of environmental, health, and safety restrictions.
  • If your unit has or will have any personnel in another country in 2000, make them aware of potential Y2K impacts on their research and travel plans. Address contingency issues for their projects.
  • Resolve any personnel issues related to who will be on campus and who has what responsibility beginning December 31 and forward.
  • Ask faculty and staff not identified as part of the assessment team to remain off-campus until January 4. Exceptions should be identified on a campus by campus basis.
  • Provide staff with clear instructions on reporting to work in January. For example, indicate that most staff will be expected on the first day of business, unless otherwise notified.
 
     
December 31, 1999
 
  • Close and lock all windows and doors, and close blinds and curtains.
  • Leave all radiator valves turned on to ensure adequate heating and avoid freeze damage.
  • Unplug any nonessential computers and/or lab equipment.
  • Make sure there are no space heaters running.
 
     
January 1 and after
 
  • Assist unit's personnel in systematically assessing their mission-critical hardware and software to prevent introduction of new problems.

ü In case of Y2K issues, initiate contingency plans and report to Campus Command Center.
