Table 1: A Visual Guide to Eudora Options

About this Table:

Eudora's many options allow you to customize its actions; changing a few defaults might make it a lot easier for you to use. On the menu bar, select Tools -> Options, then select the "Options Windows" one at a time from the list on the left of the window. Scroll down to see them all.

To accept all your changes and return to Eudora, click OK.

While the specific selections given here are the ones that I, a former Pine and CMS mail user, find most convenient, the notes in this table can be of benefit to anyone using Eudora.

The items in italics apply specifically to me; you'll have to change them, using your own name, netid, and so on.

The sections of this document are organized based on the Options windows in version 5.1; some of the options listed don't exist in older Eudoras and some are in other sections.

The SSL for incoming email options require Eudora for Windows 6.2; download it free from the Web.

Getting Started

Real name: Judith Grobe Sachs
Return address: judygs@uic.edu
Mail Server (Incoming): mail.uic.edu Or the name of your ISP's server; the other ACCC email server names are not valid anymore.
Login Name: judygs I can use my netid with mail.uic.edu, because I get my netid@uic.edu email sent to an ACCC email account -- my mailserv.uic.edu account.
If you do also, you can use your own netid.
SMTP Server (Outgoing): smtpserv.cc.uic.edu

Note #1: Use smtpserv.cc.uic.edu if you are on campus; use mail.uic.edu if you are off campus and don't want to use your ISP's SMTP server. See Getting Started in Configuring Eudora.

Mac Only:
[X] or [ ]Allow authentication
Check this only if you are using the ACCC's authenticated SMTP server mail.uic.edu; see Getting Started in Configuring Eudora, or if your ISP's SMTP server requires authorization.
Have to select an SMTP Relay Personality; see Sending Email.

Checking Mail

Mail Server: mail.uic.edu Or the name of your ISP's server; the other ACCC email server names are not valid anymore.
Login Name: judygs

I can use my netid with mail.uic.edu, because I get my netid@uic.edu email sent to an ACCC email account -- my mailserv.uic.edu account.
If you do also, you can use your own netid.

Check for mail every 10 minute(s)

Or try 15 minutes if you're having problems with Eudora crashing when it automatically checks email for you. You can always check email manually by clicking the icon that represents a letter moving into a wooden mailbox or select File->Check Mail.)

Note #2: Note that Eudora will interrupt you (even if you're reading or composing a message) to display new mail. (See Getting Attention.)

[X] or [ ] Send on check
[ ] Save password
Note #3:  For security, don't tell Eudora to remember your password.
Don't check without a network connection
Don't check when using a battery can also be useful
I don't have either of these selected, but you might find them useful if you're ever in those situations. (Particularly Don't check without a network connection.)
Windows Only:
Secure Sockets when Receiving: Required, Alternate Port
For mail.uic.edu. This protects your password, and, incidentally, the email you download, with SSL. See Safe Email Viewing.
Eudora for Windows 6.2
is required; download it free from the Web.
Mac Only:
Server configuration: (*) POP or  (*) IMAP

Mac Only: If you're using IMAP
IMAP Mailbox Location Prefix:
~/mail/
Note #4: Don't miss this one. (Note, this is the old IMAP mailbox prefix; the new one doesn't seem to work in Mac Eudora.)
Mac Only: If you're using IMAP
For new mail, download
(*) Minimal headers only
( ) Full message except attachments over 0 K
Note #5: In these times it is exceeding smart not to automatically download attachments. But if you do get an attachment that you're expecting, make sure you open the message and double-click on the icon of any attachment that you want to keep before you delete the message from the email service machine.

Incoming Mail (Using IMAP) Windows Only

Server configuration: (*) IMAP

IMAP Mailbox Location Prefix:
mail/

Note #4: Don't miss this one. Try ~netid/mail/ if that doesn't work.
Authentication style:
 (*) Passwords

When I delete a message:
 (*) Mark it as deleted
Add'l Note Added for Eudora 4.2+: You can also use the Move it to Trash option, but the mailbox that you move it to must be an IMAP mailbox on the server. (The default Trash mailbox is on your PC and is not compatible with IMAP.) The Eudora "empty the trash" commands won't empty an IMAP trash mailbox, so you must go to your trash mailbox on a regular basis, select all the messages, and delete them all again to really delete them. All in all, using the Purge command is a lot simpler.

Incoming Mail (Using POP) Windows Only

Server configuration: (*) POP
[ ] Leave Mail on Server Note #6: Do not use Leave Mail on Server.
Authentication style:
 (*) Passwords

Sending Mail

Email address: judygs@uic.edu You use your own netid, of course.
Domain to add to unqualified addresses: uic.edu

SMTP server: smtpserv.cc.uic.edu
SMTP server: mail.uic.edu

See Note #1
[X] Allow authentication
If using mail.uic.edu SMTP server.
SMTP Relay Personality Note #7: Select the "SMTP Relay Personality" you want used when you authenticate to mail.uic.edu. Usually you'll use the <Dominant> personality -- the netid and password of the account that you are checking the email of. But you could use the netid and password of any other personality that you have defined if you want to.
[X] or [ ] Immediate send
[X] or [ ] Send on check

Secure Sockets on Sending: Never
Secure Sockets on Sending: Required, Alternate Port

Note #8: Select Never, if using smtpserv.uic.edu or any other regular SMTP server; Required, Alternate Port if using mail.uic.edu

SSL Mac Only

Personality Select the personality you're working with from the dropdown list.

SSL for POP: Required (Alternate Port)
SSL for IMAP: Required (Alternate Port)

For mail.uic.edu This protects your password, and, incidentally, the email you download, with SSL. See Safe Email Viewing.

SSL for SMTP: Required (Alternate Port)

If you are using mail.uic.edu for SMTP. See Note #1
(*) Maximum Compatibility Alternate Port SSL Negotiation

Composing Mail

Select a default Stationery for new messages: <No Default>
Default signature: Judygs ACCC Note #9: If you want Eudora to sign all your outgoing messages, you have to have a signature file. (See "How to use Eudora" on page 4 of the Eudora Quick Start Guide.) You won't see the signature while you're composing messages; Eudora appends it when you send it.
[X] Word wrap
[ ] May use quoted-printable
[ ] Tabs in body of message
Note #10:  Don't select quoted-printable; in fact, don't use it at all unless you really need to have accents and other special characters and you know for sure that your recipient's email program can handle it.
[X] Keep copies of outgoing mail

Windows Only:
[ ] Show signature while composing
I thought this would be fun when it first came out, but I've had problems with it, so I don't use it anymore.

Replying

Windows Only:
If you select Automatic Fcc to original mailbox, when you reply to a message you've moved into an archive mailbox, Eudora will automatically save a copy of the reply in that mailbox. (See also (3) How to save copies of outgoing messages.)

Windows Only:
Quote only the selected text
is also a nice option to use. With this turned on, you can highlight a section of the message you're replying to, then click Reply, and only the highlighted section of the original note will be included in your reply.

Attachments
  See also: Note #5

Windows Only:
(*) MIME
( ) BinHex
( ) Uuencode

Mac Only:
(*) AppleDouble ("MIME")
( ) AppleSingle
( ) BinHex
( ) Uuencode data fork
[ ] Always include Macintosh information

Attachment Folder: safe-attach Don't choose the default name for your attachment folder; choose something else; it's safer.
[ ] Put text attachments in body of message
Windows Only:
Delete automatic attachments:
( ) Never
( ) After sending message
(*) When message emptied from Trash
Note #11: The "delete automatic attachments" options won't delete attachments that you've clicked on to download. You won't have any "automatic attachments" unless you select Full message except attachments over n K in the Incoming Mail options window.

Viewing mail (Windows Only)

Windows Only:
Message Window
[ ] Use Microsoft's viewer
Message window width: 80 Message window height: 20
Do not use Microsoft's view; it causes problems. (Including making you vulnerable to email viruses and worms.)
Windows Only:
Preview Pane
[ ] Show message preview pane
[ ] Mark previewed messages as read after [ ] second(s)

Note #12: Not using the preview pane is also a good idea; using it makes you more vulnerable to some types of email viruses and worms.

I also don't use the preview pane because I don't like it. Turning preview pane off and maximizing the open mailbox index window solved most of the problems I had adjusting to Eudora. In the preview pane, Eudora shows "minimal headers" (not From: even!), and Mark previewed messages as read doesn't work as I expected it to.

Windows Only:
[X] Automatically open next message
[X] Zoom windows when opening

Windows Only:
[ ] Allow executables in HTML content
Don't want to fall prey to email viruses/worms? Then don't check this option.

-- Mailbox Display (Mac Only)

Mac Only:
Don't use Message Previews. Uncheck all of those options. It there is no point in opening spam or viruses, which together make up the majority of the mail that most people get these days. So previewing every message a waste of time. But you don't have to uncheck this if (1) you use antispam filtering, as is the default these days, and (2) you're careful about checking each mailbox's index list and delete all suspicious email messages before you begin reading your remaining email.

Mailboxes

Windows Only:
I don't use the Label and Priority columns, so I turned them off. (But see also Labels.)

Windows Only:
[X] Allow drag-and-drop transfers
[X] Allow drag-select of messages

Windows Only:
[X] Close messages with mailboxes

Styled Text

[ ] Show formatting toolbar
When sending mail with styled text (HTML)
( ) Send both plain and styled
( ) Send styled text only
(*) Send plain text only
[X] Ask me each time

Note #13: On styled text: just one word -- don't. You know how annoying it is to get messages with HTML tags showing!
If you might sometime need to send styled text, you can check Ask me each time. I do, but I don't get a lot of styled messages; if I did, having to select Send plain text only for every styled message that I reply to would get old fast.

Auto-completion (Windows) and Nickname Expansion (Macs)

These are options that have to do with what Eudora will do when you begin to type a nickname or email address in the To:, CC:, or BCC: fields. Take a look at the available options and select whichever you want. See also Note #16 in Miscellaneous.

Miscellaneous

Windows Only:
Switch messages with:
[ ] Unmodified arrow keys
[ ] Ctrl+arrow keys
[X] Alt+arrow keys

[X] Empty Trash on Quit Note #14: For local mailboxes (the ones that Eudora manages itself), deleted messages are moved out of the mailbox into the Trash mailbox, and then you actually delete them with Special -> Empty Trash. What happens to messages in IMAP Trash mailboxes on the server depend on whether you're using Eudora for Windows and Eudora for Macs; see Deleting Email If You Use IMAP.
Windows Only:
[ ] Say OK to alerts after 120 second(s)

[ ] Turbo redirect by default Note #15: Eudora's help says this about this option: "If this is on and you select Redirect To, a redirected message is created ..., the message is queued to be sent, and the original message is deleted." That doesn't sound good to me.
[ ]¨ Include outdated 'Return-Receipt-to'
Windows Only:
[X] Automatically expand nicknames
Note #16: This one is very important. Without it, Eudora leaves the address book nicknames in the headers! (Now that's a great way to end up sending mail to the wrong person, isn't it?) Don't press Enter after you type a nickname in a header field, either -- that will just type a newline.

Fonts (Windows) and Display (Windows) and Fonts and Display (Macs)

The fonts are up to you.

[ ] Display graphics in messages
[ ] Automatically download HTML graphics
[ ] Animate animated GIF images
Don't view graphics in Eudora. If you want to see the graphics, you can use File -> Open in Browser

Spell Checking
Also up to you. I have both (*) Automatically as you type and [X] Warn me when sending/queuing message with misspellings selected. Hint: If you see something other than spelling that you want to change, press Esc. This cancels the spell check and Eudora will give you a chance to cancel the send as well.

Date Display

Up to you, but if you choose Age-sensitive and the default RECENT format, keep in mind that only the time will be displayed on today's messages. (In Windows, where you have a choice, I use %2 %1 for OLD format.)

Ports

You might not have a Ports option, and, you might not need it. If you use Required, alternate port for SSL for POP or SSL for IMAP and Required, alternate port for SSL for SMTP, Eudora will automatically switch to the correct ports for you, and will not change the display in the Ports Option. (It will be wrong.)

Windows Only: If you don't have the Ports option, move the file Esoteric.epi (which you'll find in your Eudora ExtraStuff folder) into your Eudora folder, then restart Eudora.

Labels

I don't use labels, but my husband, who has several POP accounts, uses them so he can tell which message in his In mailbox came from which account -- Eudora puts all new incoming email from every POP personality in its one local In mailbox. My husband has a Eudora filter that gives a specific label -- and therefore color -- to all the incoming messages that come from each account. You won't need that if you exclusively use IMAP, because each IMAP personality has its own individual Inbox.

Getting Attention

Here I just checked Open mailbox; that seems to be least intrusive to me. If you unselect Play a sound, you can get rid of that annoying sound Eudora makes when you receive new mail. Or you can change it to a sound you like. See also Note #2.

Junk Mail and Junk Mail Extras

Junk Mail is a new feature in Version 6. Eudora reads each incoming email message and assigns it a junk score of from 1 to 100. You tell Eudora to label email with a junk rating over a given number (the default is 50) as junk; it will automatically move junk mail into a junk mailbox. Eudora can automatically delete junk mail, and can not junk email messages from people in your address book, and you have the option of telling it that specific messages are junk or aren't junk, and it will learn from your instructions. See the Junk Mail and Junk Mail Extras options for other things you can do with Junk email.

Junk Mail is more useful is a very useful compliment to antispam filtering.

Content Concentrator

Content Concentrator is also new in Version 6. I thought it would be really spiffy, but ended up disappointing me. It allows Eudora to not display the entire email message either in the Preview Pane (which you shouldn't be using) or when you're sending a Message. What it does do is show the top of the messages, some dot-dot-dots and then the bottom of the message. It is good for replies to long messages. It gives some context, without forwarding the entire long message. But depending on where you put your reply, sometimes your reply will get chopped out too.

Personalities and Personality Extras (Mac Only)

These Settings are very useful. They have all the options that define a personality. Use them if you want to modify something that has to do with one of your personalities.
