Engineering Alumni Association Board Fall Meeting and 2005 Board Elections
October 4, 2005
Elections to the Engineering Alumni Association (EAA) Board will be held on Tuesday, October 4, 2005 in room 1043 Engineering Research Facility, 842 West Taylor Street, Chicago, IL at the Fall EAA Board Meeting. This meeting begins at 6:30 PM.
All engineering alumni are welcome to attend. If you plan to attend, please RSVP to eaa@uic.edu by October 3, 2005 to allow the Board to order refreshments.
Officers and At-Large Members are elected to a 2-year term. Expectations and duties are described below. Several positions remain unfilled and these duties will be negotiated by the Board. Volunteer At Large Members are welcome. To volunteer to serve as an At-large member, please contact the EAA at eaa@uic.edu as soon as possible.

EXPECTATIONS OF ACTIVITY FOR BOARD MEMBERS
Officers and At-Large Board Members are expected to actively participate in leading and assisting the EAA through
· Fulfilling their elected and assigned responsibilities.
· Regular attendance at Board meetings in person or via teleconferencing when other responsibilities make it impossible to attend a Board meeting.
· Regular attendance at and active participation in EAA events.
· Assignment to and active participation in at least one Board committee and/or UIAA Board or UIAA Committee
· Otherwise advocating the support and growth of the EAA, UIAA and College.
· Membership in the UI Alumni Association
MEETINGS
EAA Board meetings are held four (4) times a year, usually on the first Tuesday of the quarter. Dates are announced at the start of the academic year and will be confirmed sufficiently in advance to allow coordination and reporting from Committees arranging events between Board meetings. .
OFFICERS
1. President
· Responsible for overseeing and leading the Board by calling meetings and assuring that meeting and committee schedules are maintained.
· Responsible for seeing that all committees function in a timely and collaborative manner in order to meet goals and deadlines.
· Assures that committees of the Board, the UIAA or College of Engineering committees are staffed.
· Represents the EAA or the College of Engineering as requested by the College, university or the UIAA.
· Prepares and submits the annual report for the EAA to the UIAA, or works with Board Officers or the College representative to assure that this information is completed.
· The President should have prior EAA Board experience.
2. Vice President - Programs
· Responsible for organizing all program committees with the exception of those under the VP- Young Engineers Network in collaboration with Board and its President and Committees.
· Responsible for arranging and overseeing the official programs and activities sponsored by the EAA and organized by the programs committees with the assistance of the Board or assuring others successfully undertake these assignments.
· Identifies speakers and topics for meetings in collaboration with the various program committees and the College
· Committees under VP - Programs that each will need a separate Chairperson at this time are:

2. Career Prep Day
3. Special Events
3. Vice President - Membership
· Responsible for organizing all membership activities in collaboration with Board and its President.
· Responsible for arranging and overseeing the official membership and outreach activities sponsored by the EAA, organized by the membership committees, and actively collaborate with all Vice Presidents and Committees to assure membership issues are addressed.
· Encourages all program attendees to become members of the UIAA, increase active participation in the EAA, on the Board and with the College..
4. Vice President - Awards
· Responsible for organizing all awards committees in collaboration with Board and its President
· Responsible for recommending and selecting faculty, alumni and student award recipients for UIC, College of Engineering, UIAA, and EAA Board awards with the assistance of UIAA and College staff, as needed.
· Responsible for assuring that all nominations are completed and submitted on time and in the most effective manner to assure they are successful.
· Responsible for actively collaborating with all Vice Presidents and Committees to assure Awards issues are addressed and awards presented in the appropriate venue.
5. Vice President - Marketing, Web Site Development, and Alumni Communications
· Responsible for collaboration with the Vice Presidents and Committees to assure that all EAA programs are marketed to the appropriate audiences.
· Responsible for collaborating with the College representative (through the College Office of Media Services) to assure that EAA messages and events appear on the alumni portion of the College of Engineering Web site. This position is not responsible for building a website.
· Responsible for communicating with all committees regarding timelines for updating messages on all other UIC College of Engineering and UIC Alumni Association Web sites and communicating information for inclusion on email broadcasts.
6. Vice President - Young Alumni Network
· Responsible for organizing all programs of the YEN in collaboration with Board and its President
· Responsible for arranging and overseeing the YEN programs and activities sponsored by the EAA with the assistance of the Board or assuring others successfully undertake these assignments
· Responsible for collaboration with the VP-Programs to assure a division of labor between the YEN programs and other programs, as overlap will occur.
· Identifies speakers and topics for meetings in collaboration with the various program committees and the College

7. Treasurer
· Responsible for the fiscal affairs of the EAA
· Prepares annual financial statement for the Alumni Association
· Approves all bills/reimbursements and assures organization's bills are paid in a timely manner
· Advise the board of the fiscal state of the group at Board meetings and between meetings as needed
· Assures funds are spent in accordance with UIAA guidelines
8. Secretary
· Prepares and distributes the minutes of EAA Board meetings, annual or General meetings and elections and committee meetings (as needed)
· Serves as historian for the organization, maintaining and collecting permanent records for the EAA
9. At-Large Members - Confirmed at election, but generally self-nominating.
· Attend meetings of the Board and participate in committee assignments.
