Terra Society Constitution

Article 1 - Name

The name of this organization will be Terra Society.
Article 2 - Purpose

The purpose of this organization is to learn about and discuss geology, earth sciences, earth history, the environment, environmental issues, planetary sciences and recent advances in earth-related sciences.
Article 3 - Membership Requirements

Section 1: Membership is limited to the students, alumni, faculty, and staff of University of Illinois at Chicago (UIC).

Section 2: Membership is open to students of all disciplines who have an interest in earth sciences and to UIC alumni.

Section 3: Alumni must renew their membership on a yearly basis.

Section 4: Members may be expelled from Terra Society for disruptive or inappropriate behavior during meetings, seminars, or any Terra Society sponsored event, if a majority of the membership votes for his or her expulsion.
Article 4 - Officers

Section 1: This organization will have 4 officers, which include a president, vice president, treasurer, and webmaster.

Section 2: The qualifications for an officer are the following: membership in Terra Society, good academic standing at the University, and approval of the officer's position by a majority of members if he or she is appointed, or to receive a plurality of votes for that position if he or she is elected. Neither faculty nor staff may be officers.

Section 3: Term in office: The officers are chosen or elected to one term in office; officers are appointed or elected in the spring semester for the following academic year.

Section 4: Duties of officers: Each of the following duties is the responsibility and right of each of the following officers. Officers may delegate these responsibilities to other members, but only if the member to whom the responsibility is delegated agrees and the degree of delegation is reasonable. If the degree of delegation is not reasonable that officer can be found in dereliction and removed from office by Article 4 Section 5 of the Terra Society constitution.

President Duties: 1) Schedule, organize and preside over meetings; 2) bring issues to the table; 3) call a vote for major decisions, e.g. field trip locations; 4) monitor fiscal activities of the treasurer; and 5) when in a decision neither a majority nor a plurality can be found amongst members, choose between the two decisions which received the most votes.

Vice President Duties: 1) Perform the duties of the president when the president is unavailable; 2) check the Terra Society mailbox and/or storage space regularly; and 3) monitor the fiscal activities of the president and treasurer.

Treasurer Duties: 1) Safeguard and regularly deposit any money which Terra Society receives into the Terra Society (COF) account; and 2) bring an account balance to meetings when relevant.

Webmaster Duties: 1) Manage the Terra Society Webpage; 2) alert members of meetings and other Terra Society events; 3) renew the Terra Society status as a campus organization; and 4) notify members of elections.

Section 5: Officers may be removed from their position for dereliction of responsibility by a majority member vote. Officers may also be removed from office due to poor academic standing by the recommendation of the faculty advisor.

Section 6: Officers will be selected in the spring semester.
a. If more than one person wants to serve in a particular office, then there will be an election and the winner will be chosen by plurality.
b. If only one person runs for an office, then that person will take that position pending majority approval by the members.
c. If no one runs for an office, then the position will be filled by the previous officer. If that officer does not want the position, then a new officer will be appointed by the president-elect, which will be confirmed by a majority yea-or-nay vote of approval by the members.
d. If an officer leaves office before his or her term has expired, a new officer will be chosen by the remaining officers and approved by a majority vote of the members.
Article 5 - Elections

Section 1: Election of officers will be held before the week of finals in the spring semester.

Section 2: All members may vote. Members may register their votes on paper ballots, or may e-mail a person chosen by the members to monitor the election.

Section 3: Members will be sent a notification via e-mail of upcoming elections one week prior to the first day of voting. The webmaster will be responsible for notification of elections.
Article 6 - Meetings

Section 1: Regular meetings will be held no less than once each semester.

Section 2: The president may call a meeting and the webmaster will notify the members of the meeting. Should a vote need to be held for the removal of the president from office, a meeting may be called by three or more members, or the faculty advisor.

Section 3: All decisions made in meetings will be approved by a plurality of members present at the meeting. If a decision is made which is disagreeable to more than one member who was not in attendance for legitimate reasons, then the decision will be brought to the table and voted on again.
Article 7 - Advisors

The faculty advisor will be a full-time faculty or staff member of the UIC Department of Earth and Environmental Sciences.
Article 8 - Committees

All committees will be created by the officers' discretion under the advice of the body of members.
Article 9 - Dues

There are no dues owed by the members or officers of Terra Society.
Article 10 - Managing Terra Society Finances

Section 1: Terra Society's on-campus COF account will be managed primarily by the treasurer, including timely notification of officers and members of deposits, withdrawals, and balances. The vice president has the right to demand the Terra Society's COF account balance from the treasurer; if such a demand is made, the vice president may demand to receive the balance no sooner than the next business day.

Section 2: The president and treasurer have access to the on-campus Terra Society COF account, and may sign all documents concerning funds.

Section 3: The treasurer must notify the president and vice president of any and all deposits, withdrawals, and other Terra Society account actions. The president must notify the treasurer and vice president of any and all deposits, withdrawals, and other Terra Society account actions.

Section 4: All monies collected on campus must be deposited into the Terra Society's account.
Article 11 - Amendments and Revisions

Section 1: Suggestions for amendments and revisions of the constitution may be made by any Terra Society member.

Section 2: All revisions and amendments must be approved by at least 3/4 of the Terra Society members and must be approved by the faculty advisor.

Section 3: The webmaster is responsible for notifying members of these changes and for updating the Terra Society website to reflect these amendments and revisions.
