Conducting Annual Reviews

The annual Employee Performance Review meeting takes place at the beginning of the academic year following the process outlined in Policy 602 Employee Performance Review. All UIC Academic Professional and Civil Service employees expect to receive an annual Employee Performance Review, meet with their manager to discuss their performance, and learn about what is expected of them in the following year.

Both Academic Professional and Civil Service employees participate in the review process, which takes place each year between May and August 15.

The annual Employee Performance Review presents an opportunity for you and your team members to assess their progress at UIC and plan the next steps that will lead to the achievement of next year’s goals. Use the review to meet with each team member individually and review their accomplishments during the prior year. Set the stage for next year’s success by discussing performance expectations, development opportunities, and personal goals for the next year.

Prior to the Review

Before the meeting takes place prepare your team members by encouraging them to complete Self Review (.doc) prior to the meeting. Complete a Performance Review form (choose the appropriate verion) for each colleague and use the completed form to guide the discussion during the review.

The managers and supervisors that are responsible for completing performance reviews use the EPR Tracking Tool to record completion of annual employee performance reviews. You will receive an email to notify you when the annual review process begins. Log into the EPR Tracking Tool to confirm the names of employees that you manage or supervise and then change Review Status to “Complete.” as reviews are completed.

During the Review

The Employee Annual Performance Review meeting should one of many conversations with your team members providing expectations, guidance, and feedback. This meeting should be a review of prior expectation and performance discussions held throughout the prior year. Use the completed Performance Review form and the Behavioral Descriptors to frame the discussion. Include feedback on their current job performance and identify opportunities for the team member to improve and enhance their skills. This is an opportunity for you to take stock of progress throughout the year, provide feedback on their performance, and answer questions and listen to each colleague about what they need to in order to achieve next year’s goals.

Following the Review

Provide a written copy of the Employee Performance Review to each employee and file a confidential record within your college, department, or unit (separate from the employee’s personnel file).

Collaborate with each colleague to complete an Individual Development Plan (.doc) that outlines the specific steps to take during the course of the year to improve their job performance and advance their career goals.

As reviews are completed, please log in to the EPR Tracking Tool and change Review Status to “Complete.”

During the Following Year

Use the Annual Employee Performance Review to guide performance and professional development for your team members throughout the year. Continue to provide guidance and feedback as they work to achieve their objectives and pursue their development goals. Touch base often to learn about their progress and answer any questions that may arise. Help your colleagues thrive as professionals and achieve their career ambitions by encouraging them to take advantage of the extensive professional Development Resources offered to all colleagues at UIC through in web-based or classroom learning.
