    Procedures for Hiring
    Temporary Services Employees

    To place an order to hire a Temporary Services Employee:

    • Hiring employees must obtain approval to fill extra help positions.

    • To begin a hire the department must call or email temporary services office and provide the following information
      • location of assignment
      • mail code
      • work hours
      • FOAPAL number
      • A brief description of duties to be performed and desired job classification, and any special or desired skills necessary perform assignment.

    • A representative from Temporary Services will notify the employing department when the job order is filled and will provide the temporary employee's name and the amount to be charged, (hourly rate of pay plus 27% service charge).

    • The temporary employee will be instructed by HR to report to the employing department and will present the department with a completed job order packet.

    • The employing department must enter the appropriate FOAPAL number, department code and sign the contract approving the assignment. A signed copy of the contract must be returned to campus HR. Duplicate copies are to remain in the unit.

    • A bi-weekly timesheet must be completed to process and issue a paycheck. Timesheets must be received by campus HR no later than Friday the week of payday. Timesheets or web entries submitted after Friday will not be processed until the following pay period.

    • Temporary Services will be responsible for all hiring processes.

    • Temporary employees should not be given keys or access to University property.

    • An employee evaluation form is to be completed and returned to Temporary Services upon completion of the assignment.

    • For billing purposes, a billing report will be issued to the employing department. When reviewing bills in Banner please remember to check the FOTEXT for information about invoice numbers, week ending and employee name.

    • Billing statements must be reconciled to unsure that banner statements accurately reflect time worked on submitted timesheets.
