CALAMW 2006 Annual Program Travel Assistance Grant for Students

1- Overview:

Chinese American Librarians Association Midwest Chapter (CALAMW) provides travel assistance to help fund its student members to attend the Annual Program.

The goals are to:

1) encourage students involvement of the Chapter activities

2) increase exposure of students and program

3) recruit members

The amount and coverage is different from year to year. In 2006, coverage will include (sharing) hotel rooms, car rental, mileage, and registration. Grant will be made possible from various sources including allocating donations.

2- Terms & Conditions:

Applicants must be CALAMW members in good standing or new members.

Applicants should be full-time students enrolled in a library school.

Applicants are encouraged to present at the Program.

Those to present at the program will be given first consideration.

First year students can be exempt from presenting, but they are encouraged to present at future programs.

To document this commitment, students are expected to write a brief reflective paper summarizing the characteristics of the effective and ineffective presentations they observed and submit their reflective summary to the Program Committee within two weeks after the Program.

Funding priority goes to group applicants.

A presenter is eligible to apply for a second time.

Funding amount is on case by case basis for each individual.

Travel funds are issued as reimbursements. There is no money offered "up front."

Requests for any funding must be made before or by April 15, 2006 when the registration ends.

An applicant must submit the registration form together with the grant application form..

Applications should be submitted to the Program Committee for review and approval.

Consideration of funding applications is contingent upon a satisfactory application promptly provided.

An applicant should be notified of the outcome one to two weeks after the registration deadline (by e-mail only).

The financial support provided will be publicly acknowledged at the Program and through other media.

3- Travel Grant Approval Instruction:

Submit your application for grant before or together with your registration form.

Keep all travel-related receipts.

Fundable coverage include: travel, lodging, registration fee, parking, private vehicle, mileage by the state rate (If travel by a private vehicle, state mileage applies).

If to drive a rental car, rental expenses are eligible.

Meals, telephone bill, hotel service are not reimbursable.

Parking expenses, cab fare, and tolls are not eligible expenses to claim.

Parking and traffic violations are not covered.

Funding for lodging usually means students share rooms with other members who donate their spare room/space to the Chapter.

If, for any reason, a recipient does not attend the program, one must notify the Program Committee immediately so that the grant can be given to an alternate.
