SUBJECT: CATALOGING REVIEW

 

The cataloging review flag is set on a title, copy, and/or volume that cannot be located when it is needed by the Catalog Dept.

The cataloger will set the flag for each item wanted by selecting the cataloging review tab under the edit item status option in the item records page in Voyager.

Multiple copies or volumes must have the flag set in each item record.

 

The cataloger will record the purpose of the claim and his/her initials in the edit item note field. 

e.g. Claimed for reclassification (AB123D4) – JQC

       Item Mislabeled? – JQC

       Different edition or later printing? – JQC

 

If the item wanted is in circulation, the cataloger will inform the claims coordinator that the item is wanted by the Catalog Dept.  The claims coordinator will contact his/her counterpart in the Circulation Dept. (Main: Joel Sanders, LHS: Emama Mulhim) and provide the original system number or the bibliographic record ID, and the title of the item wanted.  The book will be routed to the Catalog Dept. claims coordinator when the item is discharged.  The claims coordinator will check the record to determine who wanted the book and give it to that person.

When the problem is cleared, delete the note from the edit item note field.

 

If the item wanted is not in circulation and cannot be found in the stacks, the cataloger will inform the claims coordinator that the item is wanted by the Catalog Dept. The cataloger should select the missing tab as well as the catalog review tab under the edit item status option in the  item records page in Voyager.

The claims coordinator will contact his/her counterpart in the Circulation Dept (Main: Joel Sanders; LHS: Emama Mulhim) and provide the original system number or bibliographic record ID and its title.  The Circulation Dept will initiate missing book procedures.  The catalog review flag will remain set so that if and when the item is found it can be routed to the Catalog Dept and ultimately to the cataloger that requested it.

 

Miscellaneous Notes:

 

When reclassifying, correct only the call numbers for items you have actually relabeled.  The missing items are still presumably labeled with the old call number.  Copies and volumes are labeled according to what the library has in its new classification.  E.g. copies 3, 5, and 6 of the old classification may become copies 1,2, and 3 of the new.  Remember that copy number and copy control number are NOT the same thing.
