Cataloging Dialogue Sound Recordings

Find the right record:
  1. Search Voyager to make sure we don't have the title to be cataloged.
  2. If we don't own it,
    1. Search OCLC for the record. Sometimes the record won't be there right away so you will need to re-search OCLC a couple of weeks later for the record.
    2. Once you find the record in OCLC, import it into the Voyager database. Since this is a sound recording, make sure the record has a GMD in the 245 subfield h for [sound recording].

Edit the record:
  1. Insert a local free text call number (099) for CD and whatever the number of that particular CD will be: check the call number index in Voyager to see what was the last number used (do a call number search and type in "sound disc" (without quotation marks) to retrieve the last number used.

  2. Change any and all 246's to 740's, taking out the initial articles if any in the 246's and adding periods at the end of the 740's. (Please note that the 740's should fall in place so if you have a 730 the 740 should go after that).

  3. Change the 500 note that says compact disc to a 538 note (System Details Note). The 538 note should go before any 5xx note.

  4. Add a 500 note: Titles from disc label.

  5. Remove the subfield n from the 730's.

  6. After complete editing, export it to Voyager.

  7. Create a MFHD for the item and catalog it.
    	e.g.:      852 8 0 #b AUD #h SOUND DISC #i CD-628
    
  8. Create item record for the item. Insert bar code and make sure to change item type to AUVL

  9. Place piggy back barcode on CD case as well as small Avery label which should have the call# on it which should say:
    	e.g.: 	SOUND
    		DISC   
    		CD-628
    

  10. Attach a Special handling instruction slip with the CD. On the green slip mark the number 13 with an instruction "Shelve at Reserve Desk."

  11. Place the cataloged item on the truck to go to Shelf Prep.
