RECATALOGING SHELVED BY TITLE PROJECT
Bibliographers originate the list of the titles to be pulled. Let
Circulation department know which titles you want them to pull first thing
in the morning. Use a group address, so that Reference and some other
departments know where to look for pieces should patrons request any. If
the title has a very long run, request that a few titles from the list be
pulled. This is to maintain proper flow to keep up with the item recording
from ACQ/Serials department. Circulation personnel retrieve pieces and
leave book trucks in a place designated by the Cataloger. Catalog the
title on OCLC; please make sure to check following:
- Search by title in Voyager as well as in OCLC.
- Make sure both databases have the same OCLC number, watch for
merged records (019 situation).
- Make sure to choose right record in OCLC regardless of the voyager
record. If necessary change the OCLC # in Voyager.
- Following fields are obsolete (OCLC) 211,212,214.241,265 (use 037
with #b), 315,350,570 (ed.notes, use 500 instead), 840(series added entry
title, use 830-uniform title).
- Several titles have no IAY (holding symbol) in OCLC. In this
situation add "#m no" in 049 and then update the record.
- Spine titles may not reflect what is actually bound in some
volumes. Title changes may have been missed and bound together.
- Some titles are still open (current/active) in Voyager but
closed/completed/ dead according to OCLC. Change voyager accordingly.
Change the status on holding record (fix field 008 Receipt
Status-Complete).
- Pay attention to 362 field - Dates of Publication for
beginning/ending dates.
- Pre AACR 2 records- where they added newer title in 247. In most
cases you will find two successive entry titles to match: split the
titles.
- Edit the record in OCLC before exporting in Voyager. Delete 007
(Physical description/ Electronic resource) and also 856 links (Electronic
location and access). If we own the e journal of the same title, add note
in the holding record-#z For electronic version see other record.
- When updating an exported record from OCLC, if the same title is
in electronic format, try not to overlay the e version record. It will
give you screen telling which record you want to overlay. Title changes
need some extra attention.
- Records with 780 (previous) and 785 (newer) fields need lot of
attention. In most cases try to assign the same call # as long as subject
scope does not change.
- If title is split (has 785-second indicator 6) make sure not to
give same call number to both. Same call number could be repeated to the
title, which will be consequently carrying same volume number sequence.
Assign other close number cuttering for other split title if needed.
- Some 780 and 785 fields do not have OCLC # for previous and newer
titles. Add them, if you can.
- Save Mesh heading 650-second indicator 2 in our record if it is
there. Also make sure all 650s second indicator 0 are validated for LC
headings.
- Holding should match bib record dates (362)
- Some titles not on the list may be discovered while checking 780
and 785 fields.
- All Authority work should be done; export corporate name authority
records from OCLC or make a new record and NACO it by submitting to the
NACO coordinator. Validation of the record in Voyager will indicate
non-existence of any authorities.
- Check the shelf list for call #. Most of the time it will match.
Occasionally you might have to change last number of the second Cutter
number.
- Call # on your list could be different than call on OCLC record,
follow LC practice unless it is totally wrong.
- To create new holding for periodicals, change fix fields- Leader
in holding record. Open and change- Type of record to: y: Serial item
holdings and Encoding Level: 3: Holding level 3. Need to change 008 also
if the record is dead or complete. Transfer call # on holding record and
change location from "Shelved by title" to either "PER" or "WAREHOUSE".
Delete the information such as- "Shelved as…" but leave the information
from Acquisition department.
After you finish cataloging, fill in the Special handling instruction slip
(green slip)-one per title or per location (if some goes to Periodical
stack and some to Warehouse). On top of the sheet, very left corner write
location PER or WAREHOUSE, on right hand
side corner write Voyager BIB #.
Then today's date and initial. In #2, write full title and in #13 call #
and location. The last step is to push book trucks where we keep completed
books, for pick up by shelf prep staff. See examples here (after opening
