Serials cataloging

[NOTE: These guidelines apply to print serials. For Adding 856 to the printed serieal or specific issues relating to cataloging electronic serials, please click here].

Catalogers will follow Library of Congress (LC) or National Library of Medicine (NLM) policy. Guidelines should be used in conjunction with tools such as AACR2r, LC Rule Interpretations, CONSER manuals, Voyager documentation, OCLC documentation, MARC manuals, etc.

Serials will be fully cataloged, including authority work (submit personal, corporate, and conference names to the NACO Coordinator if warranted). Daley serials catalogers will classify all serials (except newspapers etc.).

Serial cataloging for LHS including special collections: LHS catalogers will handle periodicals as "Shelved by title" and assign call numbers ONLY to semi-annuals, annuals or less frequent serials. Please fill out "Periodical cataloging request" and "SILO/SERHOLD Record update" forms in order to request new serial titles to be cataloged or to reflect title changes to the old serial titles. Serial title changes for all LHS locations should be routed to the Senior Library Specialist in Acquisitions/Serials. She will close the order record for the old title and create an order record for the new title, mail the volumes to LHS Chicago and the title pages to the regional site libraries.

The following conditions constitute seriality:

  1. Issuance in successive parts.
  2. Parts carry unique numeric and/or chronological designation.
  3. Intended to continue indefinitely.

To determine condition C. of seriality, use the following criteria:

  1. Items imply continuing publication (e.g., In preface of piece in hand "First of an annual ...)
  2. Items have statement of frequency in title or elsewhere in the piece (e.g., "Quarterly journal ...)
  3. Items with a numeric (e.g., "Sixteenth Workshop on ..." ) or chronological designation (e.g., "Academic year 1999-2000 projection ...") in the title.
  4. Items for which continuing subscription orders can be placed with publishers.
  5. Items acquiring a designation after first issue(s), thereby becoming serials.

Notes on processing serials:

Due to the nature of serial publications, catalogers should process new and changed titles speedily (1-5 days). LHS serials catalogers will use the "Periodicals cataloging form" when processing periodicals.

For changed titles, serials catalogers should close off previous titles (if held by UIC libraries) For more information on what constitutes a title change see: www.tlcdelivers.com/tlc/crs/manl1530.htm

Daley serials catalogers will affix stickers to mark call numbers on quarterlies and other frequently issued publications (rather than marking the piece)

Under current work flows, serials catalogers do not need to create item records for individual pieces.
