UIC master theses and doctoral dissertations are sent directly to the Catalog Dept. from the Graduate College for processing. They are packed in boxes and accompanied by a cover letter and a list of persons with degrees conferred. An inventory of theses and dissertations is taken based on the Graduate College's list. All letters from the Graduate College, lists, and packing slips are filed for future reference.Masters theses: Both the "original" and "copy" of each masters thesis is received. The cataloger delivers the original copy to Special Collections (Archives) at the time of cataloging. The Archives copy is not cataloged and consequently does not receive a call number, is not listed in the main library holdings, and is neither bound nor marked in any way.
Doctoral dissertations: A "copy" only is received from the Graduate College which sends the "original" to UMI. The copy is cataloged; when the original is returned from UMI (approximately one semester later) an inventory is taken from the packing list and the catalog searched for confirmation of cataloging. The dissertation is routed to Archives unmarked and uncataloged.
Note that "copies" are identical in appearance without an original or ribbon distinction.
If supplementary materials (discs, photographs, etc.) are not supplied with both copies, those supplied will be bound with or kept with the Archives copy.
Dissertations and theses are grouped on the shelves by subject by adding the number 99999 to the appropriate LC classification. Within each class, Cutter numbers are used to indicate alphabetic arrangement by author of the work. All theses and dissertations by students in science departments will be classified in Science Library class numbers (QC-QR) with math theses and dissertations in QA. Generally assign a classification consistent with the field for which the thesis or dissertation was written. (see list at end)
A typical call number would appear as follows:QC 99999 E74Dissertations and theses are cataloged as manuscripts according to AACR2 Chapter 4.
No subject analysis is provided for UIC-East theses and dissertations submitted after June, 1982.The following guidelines apply:
Type of record: Code t (manuscript language material)
Place of publication: Code xx (unknown)
Form of contents: Code m (thesis) in addition to others that apply.
099. Use for all UIC-East thesis and dissertation call numbers.
100, 700. Contrary to AACR2, include in the statement of responsibility all such persons listed regardless of their total number. Added entries should be made for all such persons excluding faculty advisors. (Note: Formerly a common practice in social work theses, this situation is now a rare occurrence.)
260. Give date only, e.g. |c 2001.
300. Usually described in terms of leaves with a size of 29 cm.
Use the following notes in the order given:
502. In addition to indicating the degree for which the author was a candidate, the thesis note also shows the field, department, or college (other than the Graduate College) in which the degree was taken, and the date of the degree.
Example:
- Thesis (Ph. D. in History)-University of Illinois at Chicago, 2001.
- Thesis (M.S.W.)-Jane Addams College of Social Work, University of Illinois at Chicago, 1982.
500. Use for "Vita" note.
504. Use as appropriate.
Deliver the original, unmarked copy of a master's thesis directly to Archives (as per above). Deliver marked, cataloged copies to Shelf Preparation. If the item is more than 2 ½ inches thick, divide it into two volumes at a logical point and make a photocopy of the title page for the second volume.
Although authority work is rarely needed for authors of these works, search the catalog for conflicts and make local authority records when references are needed.
GRADUATE COLLEGE.
Thesis Coordinator (Jim Kollenbroich (Tel.: 6-3958, E-mail: jkolle1@uic.edu)) is the contact person in the Graduate College. He must be kept apprised of the catalog department's contact person for shipping purposes and any problems which might arise. Since Jim Kollenbroich is the theses evaluation coordinator, he must be contacted to confirm a student's request to submit another copy of their work to the library for any reason. The library's copy of the thesis or dissertation must be the Graduate College approved copy.
If the cataloger notices missing pages to the document, the library will request replacement pages from the Graduate College.
