Daley Library
Present: Ora Daniels, Sherry Gogo-Madsen (chair), Kathy Kilian, Joel Sanders, Thomas Mantzakides (minutes), Emily Guss, Robert Daugherty, Pia
Hunter, Jeff Loftiss
1) Document Direct: There is supposed to be a 30 minute training session. Gogo-Madsen has sent out instructions. Daniels had problem with getting access/authorization.
2) Book-Inventory: Daugherty has put compiled some data regarding how many items had been out for more than 5 years. Report also shows users
with most items checked out. Overall there were 1,757 patrons with approximately 6,000 items checked out on the reports. Daugherty will find out from O'Leary if this file also includes UB patrons. The question is:
Should current policy be changed by setting renewal limits? Madsen noted that Daley Library renewal limit is set at 99 and that most I-share libraries
do have renewal limits in place.
Guss and Hunter would just like to see books brought back in that have been out for over a year (regardless of patron group according to Hunter). Daugherty states that arguments should be supported by data in order to anticipate the pros and cons. Daniels suggests to recall everything that is out for over two months. Guss feels that there has to be a consistent policy across the board. Hunter would like to ask O'Leary for a recall report. Daugherty would like to get the Steering Committee's perspective on such a report.
3) November 15, Conference Call - Circ., ILL forum. Kilian, Gogo-Madsen, Mantzakides are planning on attending. The topic will be "Does Your Patron Need a "Time-out"?: Blocking, Expiring, and Suspending Explained"
4) Duplicate Active Barcode Report: Barcodes need to be printed on report for scanning by staff who will be processing report. The report is huge. Kilian volunteered DRU staff. Circ. Unit at Daley will also work on these. The goal is to have only one active barcode per patron record. Daugherty suggests a three person taskforce with O'Leary's involvement.
5) SSN to UIN procedure [for billing matters in Voyager] is being resolved by Gogo-Madsen.
6) CIRCWRKS web pages. Comments should be directed to Stefancu.
7) IUAG End User tutorials: Daniels did take the tutorial. Goal is to have more staff/students access this on-line tutorial to get feedback. Daugherty states that it is important to try it and see if it can be integrated into routine/consistent training. Gogo-Madsen will send e-mail out again and also recommends that a link be placed on the CIRCWRKS web-page.
8) Next year's schedule of CIRCWRKS meetings will be sent out to the group soon.
9) Access Council matters: Daugherty reports that the council is looking at the issue of recalls; recall policy should be configured consistently in all places. Gogo-Madsen and Mantzakides report that Daley Circ. is seeing fewer problems with recalls. Daugherty feels CIRCWRKS ought to re-visit recall problem and see how it's working technically.
Some questions to consider are: what loan period is item's due date reduced to at certain periods of loan? Is current policy working? How should it change? What's best policy for users? Hunter will try to run some tests in regards to patrons being able to renew recalled items on their records.
REPORTS: Kilian would like to know whether the group is willing to accept electronic (PDF) copies of suspension/restriction requests
Sanders would like guidelines on the retention of circulation reports dating back from the NOTIS days (at least 4 years ago). University Archivist Doug Bicknese's report is a possible source for guidelines on retention policies.
