Announcement
Lynn C. Hattendorf Westney, Assistant Reference Librarian,
attended the 2004 Annual Meeting of the American Name Society ANS
in Philadelphia, PA Dec. 27-30, 2004. As Vice-President from 2002-2004,
Westney served as Program Chair, coordinating all facets of the
conference including the six papers which ANS presented at the Modern
Language Association MLA which ANS has met in conjunction with for
several years. On Dec. 29, 2004, Westney presented a refereed paper
"South Carolina Chicken Bog and Philadelphia Pepper Pot: Name
Origins of Colonial Recipes."
The conference received attention from the media, most notably in
an article from The
Boston Globe.
Poster Session
Peter Hepburn, Assistant Circulation Librarian, has had his
poster session proposal "Implications of Multi-Institution
Collaboration for Retrieval of Digitized Images from a Database,"
accepted for presentation as a poster session at ACRL's 12th National
Conference in Minneapolis, April 7-10, 2005. The proposal was one
of only 152 accepted from more than 250 proposals submitted. The
session is scheduled for Friday, April 8, 2005, 3:30 - 4:30 p.m.

You" from TV2010
The Team Vision 2010 committee thanks all of our colleagues for
your enthusiastic participation in the discussion groups through
the month of December. The committee has a terrific amount of input
from the Library community now. As we process that information updates
will be forthcoming. In the meantime the committee will begin meeting
with other groups. Again, we appreciate your continued involvement
in this process.

Hull-House
Book Talk and Slide Presentation
Please join Peggy Glowacki, Assistant Director, and Julia
Hendry, Asst Special Collections Librarian, for a short
discussion of their new pictorial history of the Hull-House settlement
house at noon on Jan. 27, 2005, in Daley B-466. They will discuss the
process of researching the history of Hull-House from its founding in
1889 to the present day using the rich collections in UIC Special Collections
and show highlights from the collection. This presentation is brought
to you by the Lectures and Forums Committee.
Mailing
and Reissue of Form W-2 and Vertifiation of Taxable Gross Income
The University of Illinois has contracted the services of JAT Software
to process the annual mailing and reissue of Form W-2 for University
of Illinois employees. OBFS has published an announcement
on the Payroll & Earnings Web site with details on the W-2 mailing
and reissue process and a spreadsheet to help employees verify that
their reported taxable gross and Medicare earnings are correct.

for Innovation for qUICsearch
(read the press
release)! qUICsearch
is a Web-based search engine that allows you to select from 150
databases to which the UIC Library subscribes and execute a single
search across all the files you choose. For more information,
see our last news
feature. UIC was the first library to convert to the new WebFeat
3 software system. qUICsearch came out of collaborative group
effort of many departments and library committees over the past
several years.
What's Happening in Library
Development:
The 2005
UIC Library calendar can now be viewed online. The calendar
features the campus library from its Navy Pier days to the present
as part of the campus's 40th anniversary celebration.

Workshop
Tuesday, Feb. 1, 2005

The Office of the Vice Chancellor for Research, Research Development
Services is offering a 2-hour workshop on Tuesday, Feb. 1, 2005, at
10 a.m. The workshop will cover navigation of the UIC research system,
the outline and structure of a proposal and general review criteria,
as well as tools to prepare a proposal and budget. This workshop is
intended for new investigators or investigators new to UIC.
This workshop will be held in the Administrative Office Building (AOB),
1737 West Polk Street, Room 307C. Space is limited. Please contact Jennifer

I. Approval of Minutes of November 10, 2004 Meeting
The Minutes were approved as amended.
II. Old Business
A. Meeting with Chair of Nominations & Elections Committee: EC is
continuing the practice instituted last year of meeting with chairs
of faculty committees as a part of its oversight function. EC met with
Krystal Lewis, chair of the Nominations & Elections (N & E)
Committee. An ongoing concern of ECs in meeting with elected faculty
committees has been the discussion of having at least one tenured member
on committees. This provision is both to allow untenured faculty more
time for research and publication and to benefit from the expertise
of senior faculty. While this could be insured by a change to the Bylaws,
that is a time-consuming process and might also lead to awkward situations
in filling such mandated positions. On the other hand, if N & E
slates tenured faculty, on occasion none might be elected. In the spirit
of trying to reduce faculty members service commitments, EC looked
at the librarys elected faculty committee structure to see if
any committee could be eliminated; while it would be possible to transfer
FDACs professional travel function to the Administrative Office
and its decisions on research funding to another faculty committee,
such as EC, that would eliminate the facultys only element of
control over its funding. It is also a small committee of 3 persons,
and under the current system the workload is not onerous. So little
would be gained by its elimination. Nor did any other faculty committee
seem to be expendable. Lewis asked if there can be stronger clerical
support from the Administrative Office, and Case agreed to this. Case
affirmed that committee chairs may request photocopying, mailing labels,
etc., on behalf of their committees; they need not get their department
heads to request such services. University Bylaws require that a library
senator conduct the elections for library senators, certify the vote,
and deliver the official outcome to the Senate Office. Case appointed
Cullars, who is an out-going library senator, to oversee the senate
election this spring. If any further guidance is needed, new Senate
Secretary Diane Rudall may be consulted. EC also recommended that Lewis
check with Systems as to whether electronic elections could be held
with the proper security. Lewis was thanked for her participation; at
the January meeting, EC will talk to Helen Georgas, chair of Teaching
Support & Documentation.
B. Refocusing faculty meetings: Case is going to experiment with some
changes in the format and presentation of information of the faculty
meetings to better encourage the discussion of faculty issues, starting
with the December 15 faculty meeting. Some strictly administrative matters
will be deferred to Steering Committee and All Staff meetings.
C. Revision of faculty documents: Weller reported that she and Cullars
met with P & T chair Victoria Pifalo, who has long been examining
the issue of the proper division of faculty documents between that committee
and EC.
Cases interest in the creation of a separate webpage for faculty
documents that is independent of the committees that originate them
also fits in with this discussion. These documents can appear under
the heading of Faculty Documents rather than Faculty
Governance. Pifalo is rearranging the layout of the appropriate
webpages to show the ownership of the different documents.
EC thanks her and her staff at Urbana for their excellent work on this
project. P & T will also examine her suggestions before the document
goes to the full faculty. This item will appear on future agendas as
a reminder for ECs continued oversight until the completion of
the project.
D. Mentoring Task Force: Cullars reported that Weller, Krystal Lewis,
Ellen Schellhause, and he are recommending the establishment of a formal
library mentoring program for untenured faculty, particularly for those
newly hired, that would begin soon after joining the library faculty.
Case asked the Task Force to also work on the framing of guidelines
for the selection and training of mentors, which was an additional recommendation
by the Task Force. Cullars will attach the draft of recommendations
together with the addition of a brief bibliography and appropriate URLs
to mentoring programs of other institutions provided by Lewis to the
agenda of the faculty meeting of December 15. He thanked the members
of the Task Force for their enthusiasm and Weller for facilitating the
smooth operations of the group. Another issue for ECs consideration
is whether senior faculty can effectively serve on both the campus and
library mentoring programs; some who are already involved in the former
might wish to withdraw to concentrate more fully on mentoring library
junior faculty. The distinctions between a coach, a P & T liaison,
and a mentor should also be examined. At this point in its deliberations,
the Task Force tends to view the liaison relationship as different from
that of mentor and not appropriately combined in the same person.
III.
New Business
A. Review Faculty Meeting agenda: The Committee examined the draft of
the agenda for the faculty meeting of December 15 and reorganized the
items considerably. The distinction between old and new business will
be eliminated.
IV. Other: Case requested names of appropriate teaching faculty, particularly
from the underrepresented east campus, to recommend for service on the
Senate Library Committee since Chair Hannelore Loevy has indicated her
willingness to make such appointments to obtain greater balance between
the east and west sides of campus.

CIRCWKS Minutes Dec. 14, 2004
Attendees: Ora Daniels, Bob Daugherty, Gail Davis, Sherry Gogo-Madsen
(recorder), Emily Guss, Gladys Odegaard (convener), Lisa OLeary,
Tom Mantzakides, Barb Reding, Joel Sanders, and Russell Schneider
1. September Minutes approved.
2. Voyager calendars need to be extended through spring 2005 or later.
Odegaard will resolve LHS calenders.
3. Recent Voyager problems at the LHS sites should be resolved when
computers are replaced in the coming year.
4. New Circulation Services Web page is up. The Circwrks Web page directory
is still be updated.
5. The patron load of faculty and staff contained 6,000 records with
no barcodes and no patron group and as a result were pulled out and
further testing for address expiration, phone number format and address
fixes will continue. Email addresses are still absent and will be dealt
with later. OLeary reported that her access to has added more
information such as the College,Curriculum and Department codes. If
desired, we can run the patron load weekly, but decision for running
the load will continue to be reviewed. OLeary will consult with
Daugherty on what information will go into statistical categories. OLeary
will also check whether some grads not registered but are working on
thesis are in EDW.
6. Journal circulation move from Reserve Desk to Circulation Desk will
be transitional and start date is Jan. 3, 2005. Gogo-Madsen will post
announcement in ULIB. Signs and bookmarks have been ordered for Reserve
and Circulation Desk. Policy move will be completed on Jan. 3, 2005.
7. UIC Library closing for holidays was announced except for the Library
of the Health Sciences. Science Library is open with reduced hours.
Odegaard will reset the call slip expiration before and after holiday.
Concern was expressed about memory needed for printing notices and reports
following holidays.
No Bursar Transfer will be run over the Christmas weekend.
8. Report on the new Dead Request report is on hold until the January
Circwrk meeting. Kilian is reviewing this report.
9. PDQ report
Daugherty reported Library Systems programming priorities will be reviewed
at the next PDQ meeting.
10. Unit reports/questions
-Daniels reported LHS-Rockford cannot modify due dates consistently.
This might be attributed to insufficient PC memory. This will be fixed
with new computers.
-Ask-a-Librarian representative is needed for Library of the Health
Sciences.
-Mantzakides reported that patron group upgrades with patron loads inflates
circulation statistics.
-Procedure is needed for Circulation or Catalog review status application.
It needs to include a note on the item record that includes reason,
date, and staff initials. Discharging item will remove the status, however
the note requires manual removal. Odegaard will move this to Techwrks
taskforce.
-Odegaard will ask if the default on the request screen can be changed
from recall to first available copy.
-Sanders reminded that damaged items should be notated in the item record
at checkout.
-Mantzakides will be handling the Math billing while Bookstacks supervisor
is out.Next meeting: Jan. 11, 2005 at Daley Library 1-360.
