Participants: Daniels, Daugherty, Davis, Gogo-Madsen (convener), Guss, Hunter, Mantzakides, O'Leary, Redding, Sanders, Stefancu

1. Minutes of December 2005 meeting were approved.

2. Conference-call partipation is being extended so that staff at Chicago sites (LHS and Daley) do not have to travel to the other side though they are welcome to do so.

3. Two patron loads occurred in December. Updates not loaded are protected addresses (PRO patrons and non-UIC e-mails).
Reports are needed on duplicate IDs. Duplication in UIN and Library ID numbers needs to be reported to the i-Card Office. Refer to i-card office cases of patrons with two records -- 2 UINs or 2 people with same library barcode numbers or UIN.

4. SSN clean-up/conversion has a deadline reported by Ling Wang. SSN clean-up reports should include SSN, UIN, and NAME. An Excel file makes searching and sorting easier.
Fines/Fees reports are needed for each dept. O'Leary needs to know whether "dept" means location of book or shelving location in the item record or other. Kilian will draft specifications for UB stub record report and OLD ILCSO records.
This conversion needs to be accomplished this spring.

5. Systems report
5.1 Over the holidays, it appears that everything was rejected in Bursar Transfer. O'Leary re-ran the 24 Dec report the old way and will re-run the 31 Dec report today. She wil contact Banner experts to figure out what's going awry.

6. Damaged Book Guidelines. Guss and Davis reported progress on developing bookmarks and a notation in Voyager advising users not to mark in library materials.

7. IUAG Conference call notes posted were not helpful. Questions and issues submitted by UIC were not covered. Kilian will draft for CIRCWRKS review an e-mail note that includes the issues (e.g., making notations in Voyager, items damaged in transit, packaging that is insufficient, etc.). The issues may be more effectively addressed via the Circ-Sig listserv.

8, Billing training requests (we need to find a way to facilitate "remote" training at all Library sites).

8.1 View Direct Online training is set for Wed, 18 Jan, 9-10am in Daley ELL.

8.2 Manual Crediting in Banner has yet to be scheduled with Library Business office.

9. Limits on the number of renewals and on the number of items users can charge out will be discussed at a Steering Committee meeting soon. Strategic Planning is currently a very high priority.

10. Web pages audit is underway. CIRCWRKS members are assisting and will also need to assist making needed changes. The following
seem to be responsible for Website maintenance at different sites: Daley - rotating assignment; Science - Stefancu; LHS-P - Burnette LHS-C - Scherrer; LHS-U - ??; LHS-R - no one designated.

11. Access Council Matters

11.1 See 9 above

11.2 Currently looking at Recall policy, how it works and whether it can be made to work more effectively/efficiently.

11.3 InfoQuic and other ILLoan/Doc.Delivery charges for service are being reviewed, particularly in light of increases in copyright fees.

11.4 Better scanning software for e-reserves and ILLoan is being installed. Better Adobe Acrobat software may also be needed.

12. Reports
12.1 When search the catalog, if the pop-up note appears "please wait for catalog to respond," just click OK.

12.2 Update to new version of Voyager will be last 2 weeks of June.
Although off-line circulation will be available, UICCAT as well as the Universal Catalog will not show results of transactions. It's gonna be a mess! CAT and ACQ modules will be read-only.

12.3 I-Share tutorials are available for staff and for users. They have links from both UICCAT and the Universal Catalog pages.

12.4 Stefancu reported finding an item with different barcodes.
This could be either an input error or an earlier barcode, perhaps even one from an earlier system. If there are any earlier barcodes, they should be made inactive.

13. Schedule of 2006 Meetings (Same day/time at 312.413.2004)
Jan 10, Feb 14, Mar 14, Apr 11, May 9, Jun 13,
Jul 11, Aug 8, Sep 12, Oct 10, Nov 14, Dec 12.

The deadline for LIB next issue is Tuesday afternoon at 3 p.m.
