CIRCWRKS MEETING
MINUTES, 5/9/06
Present: Daniels, Daugherty, Davis, Gogo-Madsen (chair), Guss, Henry, Hunter, Loftiss, Kilian, Mantzakides (minutes), Stefancu, O'Leary, Sanders.
1). O'Leary reports that the patron load will be ready by next week. Daley Circ. Unit has the final report that will be used to
convert their system of filing billing notices from from SSN to UIN. O'Leary has a master copy with all names, UIN's and SSN's, and managed to get the UIN's printed on the top right hand corner of the fines/fees notice for the Daley Circ. unit.
2). Upgrade issues. Stefancu is working on a Filemaker Pro database to record circulation transactions during the down-time; data will be kept in one large Excel file; expressed confidence that everything will work fine since data can be re-ordered and
re-arranged according to each library location's preferences. Each location will have its own database; will communicate with Kayiwa in Systems Department in regards to server issues, but says that the data on the server will be backed up and is password protected. The Voyager Upgrade taskforce committee will do the testing but there will be a training period (maybe using E-Rooms) for staff in learning how to use this database. The Patron ID field will be mandatory; it saves the "name" information. Each transaction requires scanning the patron's barcode (e.g. 10 items will require 10 scans) and you would need to click on "Submit".
Database is available for viewing at: http://mircea.lib.uic.edu/
Kilian plans to look at UB patron loan privileges; no I-Share books will be sent back to their institutions during the down-time. The hold life for I-Share items will be set to 30 days or highter preceding the down-time.
Daugherty and Guss had nothing to report from the Steering Committee.
Next meeting: Tuesday June 13th from 09:00 to 10:30 a.m. at Daley Library.

The deadline for LIB next issue is Tuesday afternoon at 3 p.m.
