ILL WRKS MINUTES
May 3, 2006
Minutes of March 1 meeting (John)
Present: Bob Daugherty, Emily Guss, John Matthews, Kevin O'Brien, Barb Reding (telephone), Chris Wadle (telephone)
Agenda:
1) Charge for expedited ILL/Fedex packaging. Group discussed the issues involved in preparing walk-in ALA ILL form requests as well as preparing items for delivery by FedEx. A common policy for a category of "premium service" that will be accommodated by normal work flow will be discussed before the next meeting. Barb and Chris will develop text for a policy and share via e-mail for discussion.
2) Clio patron data removal tool. John Matthews described his experience with the patron data removal tool of the Clio software utility. Following the guidelines for ILL record retention, John worked with the data for the months of November and December 2002. The data removal was successful except that instead of being deleted, the patrons' Library ID numbers are simply being moved to another field. John will post to the Clio listserv see if other Clio users are experiencing the same problem. Chris in Peoria will experiment with data removal to see if the problem happens there as well.
3) OCLC Local Holdings records. Work is underway on adding local data records to World Cat for Library of the Health Sciences serial holdings. Bob described the history of the effort to load this information and some of the roadblocks encountered. ILLWrks will work to encourage that this undertaking continue and eventually involve Daley Library serial records. Full and accurate holdings records has the potential to increase fill rate and cut down on staff time spent rejecting requests for volumes that are not held.
4) Ongoing: Infoquic/pricing/copyright reporting. Further data will be collected to document that costs are being recovered.
5) Other topics. Bob will share recent documents prepared by the Rethinking Resource Sharing group as well as the URL for the group's blog.
Date of next meeting: June 13, 11:00 a.m.
