ANNOUNCEMENTS

Reduced Services Schedule for Holidays
UIC has designated Dec. 28-29 as Reduced Service Days in an effort to reduce energy and operating costs during Fall Intersession. As a result, the Daley Library will be closed Dec. 28-29; however, the Science Library and LHS-Chicago will be open on a reduced-hours schedule.

Reduced Service Days are NOT holidays.  Employees are asked to use accrued vacation or floating holidays to cover these two days.  Hourly (nonexempt civil service) employees not using vacation or floating holidays to cover this period may take time without pay or use accrued compensatory time. Academic or support staff members who wish to work during the Reduced Service Days should notify their supervisors in writing, with a copy to University Librarian Mary Case, by Dec. 1, in order to provide sufficient time for making suitable arrangements. Daley employees who choose to work on the Reduced Service Days may be assigned to LHS and will be required to either bring appropriate work assignments as designated by their supervisors, or perform other duties as assigned at LHS.

Richard J. Daley Library Reference Desk
Patrons should not be directed to leave a telephone message for Reference any longer. The department no longer has voice mail, but phone lines do offer a "bulletin board" announcement when staff is unavailable to answer. LHS-Chicago coninues to accept messages.

Research Brown Bag
Aug. 25, 2005 at noon in LHS. Discussion topics include the future of Research Brown Bags, given the new mentoring program.

The Sense of Community Task Force is one of three task forces recently created to make recommendations regarding employee morale and staff development issues at the UIC Libraries.

As part of our work, the Task Force has prepared a questionnaire to ask all of our faculty and staff what you think is important in creating and strengthening our shared sense of community, about community-building activities you would like to take part in, and ideas you may have on how we can enhance and strengthen our sense of community in the future.

Please take a few minutes to fill out the survey. It does not ask for any personally identifiable information, so your answers will be anonymous. But most importantly, you will be helping make the UIC experience even better for all of us.

To give the Task Force the fullest opportunity to take your ideas and preferences into consideration in the drafting of our report, please be sure to complete the survey by the end of the day on Wednesday, Aug. 17.

Circwrks Meeting -Tuesday, July 12, 2005, 9:00am

Approval of minutes of previous meeting- June – Recorded by B. Daugherty

1. Patron Load - report by O'Leary. Most recent test showed errors were of missing social security numbers. Discussion centered on whether uins beginning with 66 & 67 should be put in now or whether to wait for fall patron load. It was suggested that it be done now. Rockford reported that they see a lot of 65. It was determined that numbers are now randomly assigned and no longer identify the campus student attends.

1.1 Problem of permanent address expirations.
Popup message appears with the date of Nov. 1999 „Patron address has expired‰ message. There is a work around for this problem. This is an access issue and patrons have to be assisted by Circ staff to clear blocks. This problem has been noticed everyday since June30. Lisa will contact ACCC as they issue emails and UINs. It was noted that Circ assigns them to patron groups try to keep expiration dates we already have. Lisa will go for another load that will contain uins with 65 & 66.

2. Notification to library users
The problem is that non-UIC emails are protected. The report needs to be reviewed and divided up to correct. We should be able to unprotect the address and load soon. It was suggested that it be announced to the students to forward non-UIC emails to UIC. PR on this will have to come from Circwrks. Gail mentioned that non-UIC emails don‚t get sent out.

3. Fines & Fee notices- Lisa set it up and it appears to be working fine., however due dates for journals are not showing up.

4. Staff training for Banner –
Staff were identified who need Banner training to allow local application of manual billing and credits. Some of the individuals recommended were Pia Hunter , Kathy Killian, Olvado, Joel Sanders and Gerald Jurek, Lynn McNish. They should be able to get authorization. Rockford would like the training but not the authorization. Site staff need a better understanding of the process. Joel will send document explaining the process to the sites. 5. Proposal to stop OPAC recalls is on hold. Trying to establish a pattern of how and when recalled items are able to be renewed.

6. IUAG Circulation Forum –
There was discussion as to whether Circ staff needed to attend the forum. It was reported that Gail is fine, Rockford gets good service. Daley has no problems. Based on the discussion it was determined that it may not be necessary to attend. It was suggested that we may want to contact program planners about Best Practice issues of concern to UIC. Joel talked about mis-sends and asked if it is caused by not having the correct address on the routing slips.

Jeanette expressed that the need to emphasize that we like the service , especially given our budgets.

7. Status update for Cataloging module – No update. B. Daugherty will check with J. Scheitma

8. Circulation clients requested by Reference.
We have enough information and what is being requested and will take it back to the Access Council. Pia mentioned a problem with (audiovisual) collection being unavailable at LHS and Emily will investigate.

9. GFC copier- The copier for EReserves is scheduled for delivery July 25. The project is moving along and GFC will give the training. Pia will check on status of scanner for LHS.

ASC matters- Have charges for Circwrks and proposed charges for ILLwrks and Reswrks. ASC will be dealing with Webwrks charge and involvement from other Councils

Unit reports and questions
* Lisa will try to get annual reports by tonight.
* Pia will check recalls
* Pia noted that AVUL fines have changed to $5 a day with a maximum of $25
* Kathy-concerned that DRU is not getting credit notices for returned books to Science
* Rockford- Susan Hollander, a 25% night/weekend staff person, is working during the day to fill part of Ora Daniels' shoes. The rest of the staff have divided up Ora's other duties.
* Peoria- Questions about how to handle billing for damaged books. Some patron have used highlighter in books. Suggests include suspending privledges. It was noted that some libraries charge for paperclips and post-it notes left in materials.
It was suggested that Collection development be consulted for guidance.

Minutes of the Meeting: July 6, 2005

Present: D. Bicknese, A. Bloss, J. Canlas (recorder), M. Case, R. Daugherty, A. Ford, E. Guss, S. Jacobson, W. Jones, J. Lambrecht, F. Logan, R. Malinowsky, L. Naru, E. Schellhause, C. Scherrer, J. Schuitema, E. Starkman, A. Weller

Meeting called to order by J. Lambrecht at 9:07 a.m.

Minutes for 6/1/05 meeting approved.

1)  Budget update
Case reported Library's net gain for FY06 is $277,900, or 1.3% on the total budget, to be allocated toward collections, salary increases. As of meeting, Case estimated a $1.7M carryover in reserves for FY06. Although a better start than previous projections, combined with total new money and expenditures, FY06 still tight. Case underscored the need to reduce budget commitments and examine departmental workflows. After speculating on FY07 scenarios, Case proposed an approximate $400,000 allocation toward collections. Committee discussed the importance of support for collections vs. support for services. Case noted that campus support is received with understanding that collections is primary need and stressed need to reexamine services.

2)  Critical equipment needs: Lambrecht requested for planning purposes.

3)  Staffing and hours during December holidays
Lambrecht referred to a campus notice for dates: Dec. 26-27; Jan. 2. Gift day on Dec. 30. Most of campus closed Dec. 28-29, but some library units may remain open. Supervisors required to allow staff who wish to not use vacation time the option to work. Lambrecht noted Daley's preference to remain closed, while Dorsch, Pifalo and Schellhause expressed interest in staying open. Jacobson discussed absorption of Daley staff who wish to work at LHS-Chicago. Case articulated that staff seeking approval to work would need assigned tasks to complete for the two days. She asked site librarians to send Lambrecht proposed hours for Dec. 28-29.

4) Institutional Repository Task Force report
Weller updated Committee on Task Force's progress, noting the perception of software as a lesser concern than buy-in from university. New version of D-space being downloaded. So far, system functioning adequately, but format still in flux. Task Force offered recommendations for campus-wide advisory committee to implement initiative, that Provost be asked to support by providing server and staff, and that campus focus groups push for buy-in. Committee discussed roles and levels of involvement for Library, faculty, campus units, with respect to Repository. Lambrecht thanked Task Force asked Committee to send any suggestions to Case for consideration.

5) Proposal to create ebrary Task Force
Lambrecht introduced topic by noting Councils' efforts to assign duties to subgroups. Starkman explained function of ebrary. Committee discussed options for implementation of ebrary to be handled by single Council, at departmental level, by task force. Bloss volunteered Collections and Technical Services Council to oversee ebrary issues.

6)  Updates
Lambrecht noted that Support Staff Task Forces have begun their work. Annual reports and strategic planning coming up. He noted that Case will be in touch with Committee regarding strategic planning day. Ford announced official name change of Library Personnel to Library Human Resources. Office will maintain same functions.

7)  Quarterly report from Access Services Council
Daugherty distributed a list of proposed subgroups--CIRCWRKS, RESWRKS, ILLWRKS--along with charges and potential membership. He added that a "WEBWORKS" group might require further discussion. Committee briefly discussed possibilities regarding a WEBWORKS group and agreed to table the item until the next Committee meeting.
