Appointment
Mircea Stefancu was appointed Assistant Science Librarian and Assistant Professor effective Aug. 16, 2005.

Arts Club Exhibit
Bruce J. Kresnoff, Visiting Assistant University Archivist, and his mother will be exhibiting sculptures during the 81st Exhibition of Artist Members at the Arts Club of Chicago, 201 East Ontario Street. The exhibition will be open to the public from Friday, Sept. 23, 2005 through Friday, Oct. 28, 2005.

The Lectures and Forums Committee is pleased to announce the first post-Society of Amercan Archivists Conference Brown Bag. Those interested in the fields of special collections or archives may enjoy a discussion of the SAA Conference as well as other related conferences this season. Please join us at noon on Wednesday, Sept. 7 in Daley conference room B-466.

Change in Library Staff Position Titles
After many years of discussion, the State Universities Civil Service System is revising the classifications for library-related positions into a single series.  The overall objective of the change is to provide an efficient and effective classification and examination system that meets the needs of each employer.  The new classifications are to take effect on October 1 of this year.  Annie Ford and Cathy Sauer have been working with the Civil Service System employees managing this change.  Many of you participated in the beta testing of new exams for particular job classifications.  The new job titles in the library series are:

• Library Clerk
• Library Assistant
• Library Specialist
• Senior Library Specialist
• Library Operations Associate

All current library staff positions will be mapped to these categories.  Cathy Sauer is working on this process.  This is only a job title change and not a “reclassification” process.  There should be no impact on anyone’s responsibilities or salaries as a result of the transition to this new system, or any change in seniority or anniversary dates.

Information sessions regarding this transition, open to all staff, will be held on the following dates:
• Wednesday, Aug. 31, Noon-1 p.m., Daley ELL
• Wednesday, Sept. 7, 11:30 a.m.-12:30 p.m., 303 LHS

If you have any questions, please contact Cathy Sauer (csauer@uic.edu).  We will arrange several meetings to address your concerns.  University HR will also be available to answer questions.

Public Services Advisory Council, May 31-Aug. 22

CIRCWRKS:   August 9, 2005

Present: Robert Daugherty, Sherry Gogo-Madsen (chair), Emily Guss, Pia Hunter (recorder), Gail Davis, Thomas Mantzakides, Joel Sanders, Jeanette Gawronski, Jeff Loftiss

1.   Patron Load - On August 3, 2005 an older patron group UGRD loaded into PRO patron groups resulting in two active statuses.   CIRCWRKS will forward comments about this problem to Lisa O'Leary and request a report to identify these duplications. This problem has occurred before, and Lisa O'Leary was able to provide a solution. Will also ask how to avoid this problem in the future

2. Priority Processing (PP) of OPAC requests is being tested at Daley.   Requests have been completed the same day, and no problems have been reported thus far though staff will watch for problems and successes with this project. LHSC - rarely gets these requests, but staff will process these requests online.

General Observations

  • How long to process these requests?
  • How many requests do we get on average?
  • Will gather data first and then set parameters, e.g. service available for all users during pilot phase, but once all data is evaluated, service may be limited to UIC patrons
  • Are we tracking the unfilled requests, those priority processing call slips that remain unfilled?  
  • AUVL not configured for Priority Processing

3. Ask A Librarian (e-mail qpadmin@uic.edu )

Some members of LIB-CIRC are not getting questions as quickly as some other members.   QP Administrators have been aware of this issue.   Once this problem is identified, e-mail the specifics to qpadmin@uic.edu and copy LIB-CIRC@uic.edu.

4. Guidelines for damaged conditions at operational level.   CIRCWRKS is discussing possibility of charging users for pencil marks, highlighting, etc.   (Awaiting response from bibliographers September meeting.) Key question: How to determine that the patron is responsible - monitor circulation by noting any conditions at the check out point.   How much time will be spent arguing with users about erasures, fixing materials, etc?

5. GFC scanning at Daley-Hunter report on GFC scanner at Daley

Awaiting installation of scanning software on the Daley Circulation copier. Will report findings at next meeting.

6. UIC E-mail addresses for Library communications

Final draft of policy for using only UIC e-mail addresses submitted by Daugherty. Library will advise users that only UIC e-mail addresses will be used for Library communications. Using UIC email addresses simplifies the billing process and notifications. Direct users to send inquiries to LIB-CIRC@uic.edu .   Will query Lisa O'Leary about the protected email report, e.g., removing the protection from patrons email records so UIC e-mail addresses will overwrite non-UIC e-mail addresses in the patron load. Need report that identifies all protected email addresses regardless of expiration date.

7. Cataloging Authorization

Tabled for Sept. CIRCWRKS meeting.   Kilian to review Catalog recommendations for alternatives to Catalog access.

8. Banner Training for manual billing

Sherry contacted Laura Castillo; awaiting a response from the Business Office.

9. Access Services Council

CIRCWRKS, ILLWRKS, RESWRKS membership approved.

ILLWRKS - is ARIEL still a viable solution for Inter-Library Loan?

WEBWRKS recommendation presented to Steering Committee, but establishing working group is still in the hands of Steering Committee. Varied representation is wanted for the UIC library Home Page and how best to handle WEBWRKS organizationally.

Unit Reports and Questions

Rockford - Ora Daniels has returned and will attend the next CIRCWRKS meeting.  

Daley CIRC - Updating fliers for general library information, e.g. fines and lost book charges, AUVL fines and fees.   Are other units doing this as well?   Daley will update WebPages as well and send packet of fliers used at Daley to the sites.

Must do a name search when adding patrons to Voyager.   Two records for the same patron have been discovered.   Need to develop procedure to remove duplications because not all items get charged under one record.   Need assistance addressing this training issue - Joel Sanders will present draft of procedures at the September CIRCWRKS meeting.

Circulation clients requested by Daley Reference:   This is with Daugherty. CIRCWRKS will review later.   Reference has already circulated items w/ CIRC assistance; however Reference items are billed immediately, unlike monographs or materials from the general collection.

Sherry has prepared calendars for Daley CIRC/RESERVE. Remember to set Calendars open-ended and include exception dates and the holiday exception for campus closing. Will also extend dates for all UIC library locations.   LHS will send calendars to Joel Sanders for configuration.  

No BURSAR TRANSFER this weekend, 8-13-05. Will get a Bursar Transfer the following weekend for both weeks.
