Steve Brantley, Assistant Reference Librarian, accepted an additional appointment as Visiting Assistant Collections Development Librarian & Visiting Assistant Professor, effective Nov. 1.

ANNOUNCEMENTS

Special Collections
The Special Collections Department is pleased to announce the receipt of a $100,000 Save America’s Treasures grant to preserve and make available the records of the Chicago Urban League. The records, measuring over 1,000 linear feet in length, document the history of this pioneering Chicago organization and its work on behalf of African Americans in the city. The project will take two years to complete and will be overseen by Julia Hendry, the Project Investigator.

A Research Brown Bag Breakfast has been scheduled for Dec. 14, from 8:30 to 9:30 a.m. in the LHS conference room.

If it is necessary to make a change on a punched in/out time, please indicate on the time card the reason why you are making the change. Only hand written entries should be corrected. Agenda
1) Brief introduction/ALA Future of Resource Sharing meeting/“Think Again”document
O’Brien described the work of the ILL Works Plus group and the continuity of topics and some members with the present group. Daugherty characterized the ILLWrks group as one that will discuss and make necessary recommendations on ILL issues to the Access Services Council. O’Brien discussed some current trends in the ILL/resource sharing world based on meetings held at the ALA conference and a policy document written by a number of ILL practitioners and vendors.

2) E-mail address communication policy for circulation/ILL
The recent implementation of UIC e-mail address for library communication with patrons was discussed. Daugherty stressed the need for patron
education in ways to forward mail from UIC addresses to commercial addresses. Daugherty also recommended being deliberate about exceptions we
make to the policy. LHS Peoria and Rockford said that both sites have faculty and other users who do not use their UIC addresses to communicate.

3) Ariel 4.1
Issues concerning UIC plans to upgrade to Ariel 4.1 were discussed. Most of the CIC libraries have not yet upgraded, with the exceptions of Univ. of Chicago and Northwestern. No compatibility issues between versions 3.X and 4.1 have been reported. Since the new version has already been purchased, we will proceed with the assumption that UIC will upgrade with the support of Library Systems some time in the future.

4) ILL Patron privacy issues
A patron privacy problem experienced by LHS Urbana over the summer was discussed. The archives of a listserv containing ILL requests was found by one of our patrons to be publicly accessible. LHS Urbana staff worked with Library Systems and Google staff to correct the problem to our patron’s satisfaction. The ILL patron privacy discussion at the last CIC ILL Directors phone meeting was summarized.

5) Serials Solutions/Open URL requesting at UIC
Implementation of this option at UIC was discussed. The LHS sites report that it is very popular with ILL patrons.

6) Clio issues
LHS Peoria is experiencing a problem with Clio E-Delivery at this time. No other problems were reported.

7) Review pricing structure for document delivery services
A discussion concerning the current pricing structure for UIC’s two document delivery services is planned for a future meeting. Concern over
the amount paid by UIC to the Copyright Clearance Center is a factor
motivating this topic.

8) Holdover agenda items from ILLWorks Plus (from Dec. 3, 2004):
This list will be reviewed and appropriate items integrated into future agendas.

Systems news and views

1) Patron load - Completed, although J. Loftiss reports that their med students are still impacted by email load.

2) Billing Information - Gogo-Madsen suggested that all members who requested authorization to view older billing reports (ISIS and microfiche) try accessing the reports called View Direct or Document Direct Interface at: https://docdirect.aits.uillinois.edu/ddrint/work
Login using your netid and enterprise password and take a look at the help section under "?". Please report back to Gogo-Madsen to confirm authorization and whether or not you see the required reports.

3) Callslip requests lost? - Kilian reports of patron complaints about their requests being cancelled and not being notified. According to the not-needed-after date, the requests go "somewhere" after they expire and have not been filled.   Kilian will refine parameters to request a more detailed report to identify these requests and patron information. Kilian has also volunteered to draft some general wording for defining what "not needed after date" means.   Questions can then be posted and discussed on CIRCSIG.

4) Recalls vs. holds - Gogo-Madsen explained the difference between the two.

5) Recalls and profiling - Due to the changes in Voyager SysAdmin by Gogo-Madsen, recalls seem to be working. Report any problems regarding recalls to Gogo-Madsen or Sanders.

6) Guidelines for Damaged material - There is a policy for not discharging damaged materials but still no definitive guidelines to follow if they are discharged in error.

We are still waiting on the bibliographers' criteria for assessing charges.

7) Cataloging proposal from DR unit still pending.

8) Book inventory tabled until our next meeting. See the UIUC policy posted at http:// www.library.uiuc.edu/circ/follow-up.htm

ASC matters - Daugherty reports that O'Leary will run some overlapping and stand alone Voyager reports to identify circulation/inventory ratios. The reports will include LC and NLM call numbers.

Unit reports and questions:
Peoria reports CD-ROMs that are damaged in-transit to their site. Is everyone following same practices for ILDS packaging and shipments?

Sanders met with Daley Catalog Department colleagues to discuss inconsistencies of "in-transit" items; particularly the newly cataloged items. Sanders will be collecting data to identify intervals for routed items and report back to Catalog Dept for final analysis.

Kilian reports that some electronic resources have been cataloged with a "book" item type and location "Daley Stacks. Her concerns will be referred to Techworks' chair, Robin Beck.

Hunter reports that" SCANDESK", the new scanning product has wonderful features.  It's more efficient and takes less time to scan. A possible option would be to use this also in the Interlibrary loan departments.

Stefancu reports he received Question Point training, but still needs authorization.

O'Leary will run another Duplicate Patron Barcode report. Daley Circ requested that the notices be revised to include the patron barcodes as additional information for their billing records. O'Leary is still working on a program that will add patron barcodes to the Voyager notices.   

Next meeting scheduled for November 8, 2005 at Daley.
