LIBRARY ANNOUNCEMENTS

|
Employee
of the Month
Magda
Aldana, Account Technician II, was unanimously selected as EOTM
for November 2004 for her high level of accuracy in preparing payroll
for the entire library staff, including the sites. Magda was noted for
her efficiency in preparing financial reports and providing customer
service to supervisors with payroll concerns. Because her job performance
is so efficient, most of the library staff has no direct contact with
her other than systematically receiving their payroll checks.
Please join the EOTM committee in congratulating Magda on a job well
done.
Stop
in for holiday celebrationcomplete with food and festive conversation!

December is TV2010 month in the Library!
Team Vision 2010, which was appointed by the University Librarian to
begin a strategic planning process for the next five years, has scheduled
a series of meetings to collect the thoughts of library faculty and
staff to create a vision of the librarys future. We have scheduled
a number of 90 minute meetings for various groups of faculty and staff
at a number of locations and times. You should be receiving an e-mail
invitation to at least one of those sessions in the near future, but
we hope you will attend more than one.
If several topics are of interest to you for example, you may
be invited to a session specifically for faculty or staff but you are
also interested in the subject sessions (Health Sciences, Library as
Place, Technology, Scholarly Communication or Public Services) please
feel free to attend those sessions also. You are not restricted to only
one session as we would like your thoughts on as many issues as possible.
The schedule of sessions is listed below. Please mark your calendars
for the sessions that interest you and check with your supervisor to
ensure that you can attend. Locations will be announced as the dates
approach.
Attendance at any of the sessions is voluntary. If you are at a site
library and wish to attend by phone, please let us (phepburn@uic.edu
or cscherre@uic.edu) know so we can make telephone
arrangements.
We look forward to hearing your thoughts.

CIRWRKS Minutes, 10/12/04
User Services Ensemble (USE) Minutes, 10/22/04
CIRCWRKS
Minutes for the meeting of Tuesday, Oct 12, 2004
Present: Odegaard (chair), R. Daugherty, S. Gogo-Madsen, P. Hunter,
T. Mantzakides , J. Sanders (minutes), K. Kilian, J. Loftiss, O. Daniels,
B. Redding, G. Davis, L. Oleary
Agenda:
Handouts for 2005 schedule of meetings issued out to those needing it.
Approval of minutes of previous meeting; Emama Mulhuim will send out.
Issue with new books: not a big one but will be discussed at PDQ meeting.
Sanders will give R. Daugherty a report on the total number of new items
being received; data will be gathered from the Missing reports.
UB problems: Note emailed by Kilian prior to the meeting giving examples
and solutions. Kilian asked, Are other sites experiencing same
problems and are they following her suggestions? Claimed Return
status will not be placed on UB patrons accounts because it stops
the billing and prevents the notices from generating.
*Important Please communicate and report all problems to oncall.
Patron File Load
Odegaard discussed the following;
1- concerns for when the data
is loaded and how complete or accurate the data is.
|
2- email address and their expiration
dates;
|
Oleary may do a load and skip
the email addresses or protect them.
|
3- mailing addresses and their
format:
|
Nothing Oleary can do
about this.
|
4- patron groups and which one
to use:
|
Odegaard suggest to select
the higher status and expire all others.
|
PDQ matters
E Mulhium authorization for Voyager System Admin will be removed. Emama
is now the LOA in Cataloging Department and no longer at LHS-Chicago.
We appreciate her being a part of the CIRCWRKS team!
Priority of the Oleary list and what it is and deletion of long
missing items.
Reports
UIC LHS Urbana didn't have any patron load failure issues to speak of,
only the fact
that they (along with LHS-Peoria) also been having some problems with
the Reporter email server rejecting some third party addresses. LHS-Peoria
will follow up with ILCSO Oncall per Gladys.
Huntress - Audiovisuals circulating at other sites.
Madsen exploring the use of Macro for archiving Reporter info.
Mantzakides request to get report of all emails sent out via
Reporter that bounce back.
Daugherty phonebook vs. BANNER; how accurate are they from a
staff perspective.

User Services Ensemble
October 22, 2004
Daley Library, B-466
10:30 am 12 noon
Minutes
|
Present: Dorsch (chair), Fiscella (minutes),
Georgas, Hurd, Logan, Odegaard.
Absent: Shultz
Minutes will be taken by members (excluding Dorsch as chair) in alphabetical
order.
Minutes from meeting of September 15 were approved and will be submitted
to ULIB.
1.
|
Meeting with QP Administrative
Team. |
|
Dorsch distributed
list of duties of the QP admin team that De Groote had provided. |
|
The staffing of CHAT
and email reference has raised issues of the specific roles of librarians
from departments across the library. |
|
Dorsch will meet with
the QP Admin team. |
|
|
2.
|
How should evaluation
of public services be done? To what extent should it be done? The
evaluation could address value to the users |
|
or impact on the staff.
Specific reasons included: identify training needs of new librarians
and develop specific programs for them; |
|
assess potential employees
handling of such questions; help evaluate the relative value of
the service among others being offered by |
|
the library. Assessment
options included use statistics of services or drawing on Question
Point users surveys. Outcomes assessment |
|
was mentioned, but
there was no obvious approach to it. The committee agreed that any
large-scale proposal for evaluation of public |
|
services should be
postponed until the Library has developed a strategic plan and has
had time to set priorities. Departments might wish |
|
to do targeted assessments,
however. |
|
|
3.
|
Dorsch mentioned that
that she and members of the original QP team are writing an article
about the kinds of questions submitted. When |
|
the authors approve,
she will share it with the USE committee. |
|
|
4.
|
USE will meet regularly
with each unit that reports to it, using the model that Executive
Committee developed for coordinating with |
|
faculty committees.
These meetings might include how to evaluate the service, concerns
the teams have, suggested improvements or |
|
changes, priority
for the service, and possible directions for the future of the service.
(The reporting committees are QP Administration |
|
and My library Implementation.) |
|
|
5.
|
USE committee agreed
that meetings with appropriate department heads about staffing implications
of the services might also prove |
|
helpful. |
|
|
6.
|
Discussion of a faculty
complaint generated ideas for services for those that wish to have
better access to e-resources within the library. |
|
Logan will draft a
proposal for discussion by USE |
Dorsch will set the next meeting for
a time when she is in Chicago.
