Meetings and Conferences

Guidelines for Summer Youth Groups

Common courtesy and respect for the rights of others is expected of all guests‚ regardless of age. In order to ensure this among youth groups‚ the following guidelines have been established:

Adult Supervision

Youth groups must provide adequate supervision to ensure personal safety and reasonable use of facilities. UIC requires that at least one (1) adult for every 10 youth must be housed on each residential floor (or wing or in each cluster) with their youth. Adult(s) must be present whenever youth are on the floor‚ particularly throughout the evening and night. Adult supervisors must be at least 21 years of age.

At least one (1) adult for every 10 youth must be available to supervise the lobby‚ cafeteria/dining area‚ lounges‚ and other public areas when youth are present.

The UIC Meetings and Conferences Office will arrange for adult supervisors (at $15.00 per hour‚ per person) under the following circumstances:

when the conference group does not provide its own responsible adult supervisior(s); or

when the conference group’s adult supervisor(s) can not be found in a timely fashion; or

when the whereabouts of the group’s adult supervisor(s) are unknown.

All charges for adult supervisors will appear on the group’s final bill from UIC.

Quiet Hours

There will be other summer residents in the same hall‚ therefore‚ quiet hours will be enforced. Quiet hours are from 11:00 p.m. - 8:00 a.m. During quiet hours‚ noise should not be heard outside of an individual’s room.

Behavior

Loud‚ boisterous‚ disruptive‚ or otherwise rowdy or abusive behavior will not be tolerated. Running‚ jumping‚ water fights‚ games‚ gymnastics or stunts of any kind‚ and cheerleading (cheering‚ mounts‚ etc.) are prohibited in the residence halls. Amplified music may not be played out of the windows‚ in the hallways or corridors‚ or in the dining areas. The following types of behavior are not only prohibited‚ but will incur additional expenses for a group:

  1. Playing on or tampering with elevators or equipment (i.e.‚ ringing emergency bells‚ pushing buttons to floors occupied by other guests‚ forcing the elevator doors open‚ and/or pushing the emergency stop).
              $50.00 FINE‚ plus costs to repair elevator
  2. Playing with or tampering with fire equipment (such as fire alarms‚ sprinklers‚ fire extinguishers‚ etc.)
             $50.00 FINE‚ plus costs to repair or replace equipment
  3. Yelling out of the windows and/or throwing objects from windows.
             $50.00 FINE‚ plus costs to repair or replace screen
  4. Entering a residential floor other than one’s own‚ unless invited by a resident of that floor.
             $25.00 FINE

Cafeteria and Dining Facilities Decorum

Youth groups must be supervised by at least one (1) adult while in the cafeteria or other dining facilities. (If youth are found to be on their own‚ the Meetings and Conferences Office will arrange for a supervisor at $15.00 per hour‚ per person.)

Groups are asked to maintain proper decorum in the dining facilities:

  1. No playing with food or utensils.
  2. No running‚ shouting‚ or other disruptive behavior.
  3. No ball playing or cheering.

Shirts and shoes must be worn in all campus dining facilities.

Lost/Missing Keys

Once keys are issued during check-in‚ each resident is responsible for his/her own keys. UIC Meetings and Conferences staff will not hold keys at the Front Desk. (Keys that are lost or not returned at check-out can cost up to $350.00 to replace.) The UIC Guest Key Tag should not be removed from the key ring.

Personal Property

Residents are advised to lock their rooms when they are not present. UIC is not responsible for the loss of money or valuables belonging to any person or for damage to an individual’s personal property.

Telephones

Telephones are not provided in individual rooms.

Vending Machines and Laundry Facilities

Vending machines (candy‚ snacks‚ beverages) and laundry facilities are located in each of the residence halls. Inquire at the Front Desk about purchasing a laundry card.

Residence Hall Equipment and Furnishings

Residence Hall equipment and furnishings should not be removed. All charges for replacing lost or missing linen (towels‚ washcloths‚ sheets‚ etc.)‚ blankets‚ mattresses‚ wastebaskets‚ etc.‚ will be billed directly to the conference group.

Each room and floor is checked before a group arrives‚ and then checked after the group leaves. Any and all damages done to the facility and/or its equipment or furnishings will be billed directly to the conference group. Extra clean-up costs during or following a group’s stay will also be billed to the conference group.

Eviction

The UIC Meetings and Conferences Office reserves the right to evict anyone who exhibits behavior that infringes on the rights of other guests’ peace and tranquility‚ endangers the health and/or safety of self and others‚ or vandalizes the physical facility.
