Procedures for Processing Requests for
Appointment to Emerita/us Rank

  1. Department assembles packet with letter from Head and most recent C.V. and sends to College.
  2. College adds letter from Dean and sends to Laura Stempel, Faculty Affairs, MC 103.  
  3. Faculty Affairs reviews packet for completeness. (Requests may be returned to college or department with questions or for additional information at any point up to final BOT approval.  )
  4. Review by Emeritus Campus Review Committee
  5. Review by Vice Provost for Faculty Affairs
  6. Review by Chancellor
  7. Faculty Affairs sends original completed packet to FA/HR to process for BOT meeting; copy retained in FA.
  8. Approval by BOT
  9. Posted on BOT list of approved Faculty Appointments
  10. FA/HR sends list of all approvals, including Emeritus, to departmental HR contacts.
  11. FA/HR designates Emerita/us status in Banner PEAFACT.
  12. VPFA sends congratulatory letter to Emerita/us at home address, with copies to college and department.


Notes:

  • Emeritus status will be effective on the date of retirement irrespective of when it is approved by the Board of Trustees. In general, it could take up to two and a half months to complete the campus review process prior to submitting to the Board of Trustees for approval. We therefore encourage the submission of the request approximately two and a half months prior to the anticipated retirement date. Too early a request could also create confusion if for some reason there is a change in the date of retirement.
  • If there has been a significant delay between the retirement date and the request, please be sure that the letters from both the Head and the Dean include an explanation, such as any special circumstances surrounding retirement and/or request or specific reasons for delay.
  • Be sure that you are requesting the appointment with the correct title and rank, in the correct department(s)/unit(s), and referencing the name of the faculty member exactly as it appears in Banner). If Emerita/us rank is requested in more than one department, all relevant departments and colleges must submit supporting letters. The Emerita/us title applies only in the department(s)/unit(s) and at the rank for which it has been granted, regardless of other past positions or future hires. (E.g., a retired Dean must be appointed as a Dean Emeritus to use that title; a Professor Emerita of Chemistry who is hired in the Department of Philosophy is not a Professor Emerita of Philosophy.)
  • Posthumous requests will usually be honored only if the retired faculty member died before an Emerita/us appointment could reasonably have been made. Again, be sure that both letters include this information.
