Reservation Policies

The internal UIC coordinator for your meeting or event will be expected to be on site for the entire pre-event set-up, including catering and facility movers, and remain on the floor during the event until the last person responsible for clean up has left.

Room Reservation Policies for 2550 UH, 2650 UH, 2750 UH, 2701 UH

  • Reservations are required at least 24 hours hour prior to usage.
  • Cancellation is desired at least 24 hours prior to your reserved time.
  • The room layouts are conference style only.
  • AV Tech needs must be noted on your request form.
  • Catering is the responsibility of the meeting/event host. Remember to allow time for set-up and take down. The room should be left in the same condition it was found.

Room Reservation Policies for 2850 UH

  • Please note that usage of Room 2850 UH requires prior review and approval before your request will be confirmed and processed.
  • Open the link and click 2850, complete and submit an on-line reservation request.
  • Reservations are required at least 5 days prior to usage.
  • Cancellation is required 48 hours prior to your reserved time.
  • Under no circumstances is anyone other than campus personnel from facilities management authorized to move furniture.

2850 UH Room usage fees are as follows:

For university departments:
You are responsible for all charges incurred during your event/meeting. Please note that charges may change, depending on your actual needs the day of the event/meeting. Final invoices will be sent within 14 days of your event/meeting.

Flat rate fee of $250.00 (subject to change)
Additional fees may be incurred for extra technology needs, room set up or extended length of the event/meeting.

You will be required to provide a CFOAP that will be charged in the event of any damage to equipment, furniture or if any additional cleaning is required after use of the space.

Catering

Catering is the responsibility of the meeting/event host. Remember to allow time for set-up and take down. For events/meetings occurring outside of normal business hours, you will need to contact the UIC Police and arrange for off hours elevator access. 

Alcohol Forms

If you will be serving alcohol at your event, you are required to submit a UIC Alcohol Request Form, which can be obtained through UIC Meetings and Conferences.

Furniture removal set and or set-up/reset

Furniture removal and or set-up/reset will be the sole responsibility of the hosting department/person. You must submit your own Facilities Management request and be on site during the furniture set-up/reset.

Policy for Non-Campus Groups

Non-campus groups wishing to meet within campus buildings must obtain UIC departmental sponsorship pursuant to the Facility Use Policy.

Please submit a sponsorship letter via e-mail or campus mail, on department letterhead to the Office of the Chancellor no less than 15 days prior to your event or at the same time you submit your reservation request. The sponsorship letter must include the name, phone number, and e-mail address if a contact person from the sponsoring UIC department or unit. All requests are subject to review and approved at the discretion of the Chancellors Office. There may be a charge assessed to cover reasonable costs associated with the room usage. When imposed, the group will be required to pay in advance.

Signage

You are responsible for posting you own directional or meeting notice signs. Please remember to remove them after your meeting/event is finished.

Audio-Visual Equipment and IT Support

All the rooms are equipped with Audio/Visual (AV equipment.) The AV features for each facility can be viewed on the reservation page. If you require additional equipment, please note this in the reservation request. Any custom set-ups will be subject to AV fees and staff availability.

Wireless network access is available throughout the building for faculty, staff and students with a valid UIC NetID. One wired network connection is also available in each conference room for internet access. A valid UIC NetID is not required in order to use the wired network connection.
